POSITION OVERVIEW AND PRIMARY DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS):

Alutiiq Integration & Repair, LLC a subsidiary of Alutiiq, LLC has opportunities for Administrative Assistant III. TheAdministrative Assistant IIIperforms diverse administrative tasks in support of NASA Armstrong Flight Research Center (AFRC) and Ames Research Center (ARC) and provides administrative support in the day-to-day operations of the office. This position works under the guidance of Division office staff.



  • Answer phones, record and distribute messages; respond to routine and time critical or urgent messages.
  • Receive, sort, and distribute mail.
  • Maintain electronic scheduling (e.g., Outlook Calendars).
  • Prepare, produce, and send faxes or electronic documents.
  • Receive, reproduce, distribute, and file letters, memos, messages, briefings, and other documentation (including paper and electronic documents) in accordance with applicable NASA Records Management guidance.
  • Obtain signatures for documents, route documents, and prepare routing documents, as required.
  • Survey and gather requirements for supplies to ensure the office has sufficient stock to avoid work interruption, receive and distribute office supplies.
  • Assist in the preparation of special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc.
  • Attend meetings, take notes, prepare, and distribute minutes.
  • Develop and maintain general office files, functional procedures, specialized files, and archives (including mission and program files, photo files, and publications archives).
  • Review, maintain, and archive office files/records in accordance with AFRC policy and NASA procedures.
  • Track and respond to office action items from various sources.
  • Operate a variety of office equipment to include printers, scanners,copiers, video-teleconference, teleconference, and projectors.
  • Prepare, coordinate, and submit badging and visit requests.
  • Prepare the organization's travel requests and vouchers.
  • Assist with Purchase Card recordkeeping.
  • Perform other specialized support duties as necessary to ensure performance of the contract


Payrate:$25.00 to $35.00 hourly

REQUIRED QUALIFICATIONS AND EXPERIENCE:

  • High school diploma required, associate's degree preferred, together with three years (3) of relevant administrative experience.
  • Pursuant to the Government Contract, you must be a U.S. Citizen.
  • Must have a basic knowledge of and experience with office and administrative functions, practices and procedures.
  • Must be highly organized with attention to detail.
  • Must possess excellent command of the English language.
  • Must have excellent oral and written communication skills and ability to interface with personnel at all levels.
  • Must have experience with word processing, databases and spreadsheets. Must be able to operate office equipment and demonstrate thorough knowledge of Microsoft applications (MS Word, PowerPoint). Excel experience is a must.
  • Ability to handle multiple tasks simultaneously.
