Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Program Coordinator I. Reporting to the Facilities Manager at the Rutgers Business School in New Brunswick, with dotted lines to the Senior Department Administrator for Facilities and the Sr. Associate Dean for Finance and Administration, this position organizes and coordinates the day-to-day maintenance for Rutgers Business School buildings located on the Livingston Campus (i.e.100 Rockafeller Road, etc.) and any neighboring off-site locations associated with the Rutgers Business School.
The position's responsibilities include but are not limited to the following:
- Works consistently with the overall mission, vision, and goals of Rutgers Business School to maintain its reputation as a premier academic institution to provide premium facilities to its students, faculty, and staff while optimizing the use of the facilities at RBS New Brunswick locations
- Coordinates facilities management through initiation and follow-up of work orders related to building quality/safety and custodial deficiencies
- Assists Building Manager with the following, Remedying building deficiencies/damage that can be caused by contracted and regularly scheduled classroom events
- Management of building-related projects as required
- Working with internal and external constituents to plan, schedule, organize, execute, and monitor events
- Monitors events to ensure adherence to Rutgers University and RBS policies
- Analyzes statistics regarding room fill rates
- Prepares reports
- Monitors the effectiveness of the school's room reservation policies and guidelines, and recommends changes as necessary
- Supervising, monitoring, and assigning tasks to student workers
- Provides recommendations to Facilities Manager with regards to security coverage

Work Arrangement |
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications
Minimum Education and Experience |
- Requires a bachelor's degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing and promotion/outreach.
- Also requires a minimum of two years relevant experience in a program coordination or administrative function, good communication skills and computer literacy.

- Experience with customer service, event planning and coordination, and experience in a higher education setting
- Requires good interpersonal skills, organizational skills, and computer skills
- Should have experience that demonstrates knowledge and understanding of office organization and facilitation, and the ability to provide a high degree of customer service, prioritization, follow up and communication skills
- Must be able to work independently, solve problems in a logical manner and be a self-starters
- Requires ability to properly safeguard confidential items and comply with operational policies and procedures
- Must possess flexibility in a team environment.
