Responsible for project development, planning, and implementation of new and expanded programs in collaboration with executives. Oversees efforts of the Marketing and Communications Department in improving services provided by the Client Services/Physician Relations Team, Media Team, and Web team. The position provides programmatic support to the leaders and department while independently performing a wide range of administrative, coordination, and project work in a rapidly changing environment. The position contributes to meeting the goals of the organization, including improving overall service levels, improving the business processes which supports vendor relationships, and driving down costs through tracking, analyzing, and reporting program and project initiatives and their progress to department leadership.
MINIMUM QUALIFICATIONS: EDUCATION, CERTIFICATION, AND/OR LICENSURE: 1. Bachelor's Degree in Business Administration, Communications, Education, Finance or related field required. EXPERIENCE: 1. Two (2) years' experience in marketing, project management, or related field. 2. Two (2) years high-level administrative experience. PREFERRED QUALIFICATIONS: EDUCATION, CERTIFICATION, AND/OR LICENSURE: 1. Master's degree preferred. EXPERIENCE: 1. Experience in a hospital environment. 2. Experience with budgets, financial reporting, AP experience 3. Experience in Kronos, Strata CORE DUTIES AND RESPONSIBILITIES:The statements described here are intended to describe the general nature of work being performed by people assigned to this position. Provides supervisory oversight of program personnel.Responsible for training, onboarding, and mentoring staff. Ensures phones are covered, coordinates office events, and manages space planning and office physical layout. 2. Serves as the administrative representative of Marketing/Communications Leadership with identifying any departmental, operational deficiencies and other areas for improvement. 3. Establishes and maintains external vendor relationships and serves as the department liaison. 4. Initiates programs and projects in direct consultation with Leadership, and coordinates their implementation and completion in collaboration with appropriate internal and external customers. 5. Assist in the development of event and project proposals and budgets, providing leadership with project plan progression. 6. Monitors operating budgets for assigned hospitals.Analyzes financial data with identification of problem areas, potential savings, and ways to reduce operating costs, while maximizing cost effectiveness and maintaining the integrity of fiscal operations. 7. Drafts, proofreads, prepares, organizes, and coordinatessystem wide, and local, communications activities (i.e. zoom meetings). Coordination of hardware and IT presence, and monitoring communications. 8. Responds to requests; explores and resolves problems as presented by Department Leadership, Hospital Leadership, and system leadership in a timely manner. 9. Maintains an up-to-date understanding of department/marketing practices, services, and client-base to implement effective management of client service delivery. 10. Manages time cards and reporting for the department. 11. Carries out high level clerical support, organization, time and task management for the Executive Leadership 12. Provides exceptional comprehensive support to the department and leaders. Schedules meetings, prepares and processes all correspondence, answers and screens calls, and maintains documentation/files. SKILLS & ABILILTIES: 1. Must demonstrate attention to detail andexcellent interpersonal and communication skills, both in writing and orally. 2. Ability to document and refine complex processes and project plans. Experience with project management theory and best practices. Ability to maintain a high level of confidentiality and problem solve. 3. Demonstrates working knowledge of Microsoft Office Suite, Lawson, Stratajazz, and Webnow, among others.Excellent organizational, prioritization, and decision-making skills; strong analytical skills.
