Reporting to the Assistant Vice President of Donor Relations, the Donor Relations Associate provides administrative support to the Donor Relations team in a dynamic development office at one of the nation's foremost teaching and research hospitals. The associate learns about and participates in all aspects of the team's operations, helping deliver timely and personalized recognition, acknowledgment, and reporting programs to the hospital's most generous donors.

PRINCIPAL DUTIES AND RESPONSIBILITIES:


Letter and Report Production

  • Handle the mailing of custom acknowledgment letters and special correspondence. Assist the Associate Director (Acknowledgments) with drafting acknowledgment letters to donors. Upload completed mailings to Atlas CRM database.
  • Assist the Donor Relations Reporting Team with mailing select reports.
  • Update stewardship steps in the donor database for reports, recognition mailings, and other Donor Relations outreach, following current Atlas storage protocols.


Recognition and Event Support

  • Help coordinate the leadership birthday program and support the condolence program. Mail and track materials in database.
  • Working with the Donor Relations team, purchase recognition gifts and condolence flowers in accordance with hospital guidelines and manage the gift inventory.
  • Coordinate with the Donor Relations Officer to prioritize the timely creation of photo books following Donor Relations events.
  • Assist with administration of the Endowed Chair and Professorship programs, including delivery of chairs to incumbents.


Other Administrative Support

  • Schedule Donor Relations related meetings for the Associate and Assistant Vice Presidents and the team directors.
  • Ensure team invoices are promptly submitted and reconcile and submit monthly credit card statements.
  • Mail copies of gift agreements to donors who require hard copies.
  • Other duties as needed.

Qualifications

QUALIFICATIONS:



  • 1 year of work experience in an office setting.
  • High School Diploma or GED required.
  • Communicative and works well with staff members of all levels.
  • Excellent ability to manage tasks with great attention to detail.
  • Excellent digital literacy including experience and facility with Microsoft Word and Excel.

  • Ability to elevate an assortment of problems of moderately intricate scope and use judgment within defined practices and procedures.

  • Ability to use tact and discretion when working with confidential donor information.
  • Genuine affinity for philanthropy and advancing the hospital's mission of patient care, teaching, research improving community health.
