Additional Referndum monies Available Job Summary Provides administrative support work in assisting district administrators in planning, coordinating, monitoring, and facilitating administrative actions and processes. Duties Specific to this Position: Oversee Technology Services General and Categorical Budgets:

- Enter Purchase Requisitions in the SAP System
- Track all expenditures through the purchase process in SAP
- Enter Technology Services Budgets in the Budprep System
- Verify Expenditures Purchased with General and Categorical Funds:
- Verify arrival of all goods and/or services purchases
- Verify purchases are covered by a contract, agreement or RFP
- Verify contracts have been board approved and expenditures to be incurred are included in the contract
- Work with Purchasing to ensure that all purchases are in accordance with contracts, agreements, or RFPs
- Verify that all contracted staff are covered under State Contract
- Verify available funds for Technology Services Staff
- Process Payments of Purchase Orders in SAP
- Good Receipts for all received goods and/or services
- Work with Accounts Payable to see that contracts cover expenditures and provide all necessary documentation
- Goods Receipts and tracking of hours for contracted staff
- Gathers time/payroll sheets and overtime forms from staff; verifies accuracy of forms and required signatures; submits payroll documentation to the Payroll Department.
- Greets incoming customers, answers the phone, and provides proper identification for new and current employees
- Processes building work orders as needed
- Performs related work as required
Essential Functions 1. Researches and compiles data, and prepares reports and correspondence. 2. Organizes and tracks the status of legislation, application or case record processing, responding to complaints, and/or resolving work related problems. 3. Recommends, coordinates, and implements administrative practices and procedures to facilitate work processes and accomplish unit activities. 4. Interprets laws, rules, regulations, policies, for the purpose of answering inquiries, resolving complaints, or to resolve work related problems. 5. Prepares correspondence relating to administrative activities for the purpose of presenting information, or resolving complaints or work related problems. 6. Maintains administrative records and files. 7. Attends meetings to provide or clarify information, facilitate processes, or resolve problems. 8. Performs other duties as assigned. Probation: Six (6) months Qualifications Open requirements: Four (4) year combination of education, training, and experience in administrative work or related area. Promotional requirements: NA Licensing: Depending upon assignment, a valid Florida Driver's License may be required prior to appointment and must be maintained during employment in this class.
