This is an excellent opportunity for a Bilingual (English/Spanish) Center Coordinator (40 hours/week). As a valuable member of our team, all Center Coordinators are provided paid training to learn how to deliver clinical care and how to complete medical administrative tasks.

PPWI's compensation philosophy is rooted in equity. Starting offers are determined by both the candidate's applicable experience and internal equity. The Bilingual Center Coordinator pay starts from $19.99 per hour.
Additional $1.50 per hour for bilingual (English/Spanish)
PURPOSE of POSITION:
Under the direction of the Center Manager and the Regional Director, the Center Coordinator provides leadership and direction within the health center to support a team-based, customer-focused, results-oriented service model that achieves clinical, operational and financial goals. Responsibilities include assisting the Center Manager with the management of operations, staff supervision, budgeting and oversight of services provided to patients in accordance with approved current medical standards, policies and procedures, patient services parameters, and business management operations including a commitment to quality healthcare and excellent customer service.

EDUCATION and/or EXPERIENCE:
High school diploma required and two-years work experience required, preferably in a medical/business environment, i.e., in a family planning setting or an OB/GYN office. Associate degree or relevant college course-work preferred or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired may be considered.
Management and supervisory experience preferred. Budgetary experience and/or responsibility preferred.
* CPR certifiable.
PHYSICAL REQUIREMENTS:

Physical demands of the position necessitate hearing, talking, handling and grasping regularly. May require lifting up to 30 pounds. Specific vision conditions include close vision reading. Requires the ability to operate a computer, telephone, fax, copy machine and adding machine or calculator. Requires the ability to operate medical equipment.
WORKING CONDITIONS:
The position is generally performed in a medical office environment but involves frequent interruptions. The noise level is usually moderate. The work environment characteristics are representative of those an employee encounters while performing the essential functions of this position. Will work with blood or blood-borne pathogens and will require OSHA training which will include extensive safety precautions and the use of protective equipment.
Availability to work flexible hours and travel to other PPWI other health centers as needed.
Must have own reliable transportation. This position requires occasional traveling statewide, therefore a valid driver's license and auto insurance in accordance with agency liability standards may be required.
Evening and/or weekend hours may be necessary.

Essential Duties and Responsibilities:
  • Operations
  • 1. Assists with the day to day management of all health center(s) activities within defined cluster.
  • 2. In collaboration with the center Clinicians, Regional Director and Patient Services Administrative Team, develops, implements and improves operational initiatives to ensure high quality, service excellence and efficient care to PPWI patients.
  • 3. Participate in health center efforts to achieve established goals for productivity.(e.g. assist licensed staff with visits; answer phones within 6 rings presenting the soonest appointment)
  • 4. Create & maintain medical documentation in an EHR system in compliance with EHR policies and procedures.
  • 5. Oversees all aspects of front office management.
  • 6. Provides direct patient care consistent with level of training, licensure and/or certification, according to medical standards and guidelines.
  • 7. Accurately implements, interprets and ensures compliance with all PPFA, PPWI and regulatory policies, practices, procedures and standards in health center operations.
  • 8. Prepares work schedule and assignments for health center staff.
  • 9. Orders supplies and maintains inventory system.
  • 10. Monitors health center interior and exterior and maintains facility in clean and safe condition. Coordinates routine maintenance, including carpet cleaning, painting, etc.
  • 11. Ensures health center security is maintained during operational hours and at closure.
  • 12. Maintains equipment as required by agency procedure and protocol.
  • 13. Monitors site-specific quality assurance activities for non-medical operations including; non-medical audits, non-medical drills and training of staff.
  • 14. Maintains and monitors medical records system to ensure compliance with agency policies and procedures.
  • 15. Participates in Agency Quality Assurance Program. Under the direction of the Quality and Risk Manager, implements overall quality assurance activities at the health center.
Financial
  • 1. Supervises and monitors all aspects of revenue collection including patient enrollment in third party payment programs.
  • 2. Ensures that staff adheres to all aspects of cash management policies and procedures.
  • 3. Participate in health center/affiliate efforts to achieve established revenue cycle goals. (e.g. screen and enroll clients in third party payer sources both public and private; collect fees at the time of service, ask for donations, post accurately, adhere to frequency tables in terms of dispensing medication etc.)
  • 4. Monitors weekly patient encounters to identify and project target encounter goals.
  • 5. Monitors daily transaction reports for accuracy and compliance.
  • 6. Reviews, approves expense reports and invoices in a timely manner.
  • 7. Assists Center Manager with preparation of center budget.
  • 8. Assists with reporting requirements related to special grants.
Staff Management
  • 1. Assists with hiring of health center staff.
  • 2. Assists with employee performance management, including providing information and feedback to the Center Manager in relation to performance evaluations and corrective action (improvement plans).
  • 3. Monitors, facilitates and/or participates in new employee training.
  • 4. Assists with staff meetings based on the needs/requirements of the center or agency.
  • 5. Assists with the mediation of staff complaints, concerns, and disputes.
  • 6. Fosters a positive attitude among staff regarding the goals and objectives of the agency.
  • 7. Serves as a back-up support to the Center Manager as required.
Customer Service
  • 1. Creates environment that stresses patient courtesy and responsive service delivery.
  • 2. Monitors and ensures patient access to medical care.
  • 3. Adhere to affiliate goals, policies and standards of conduct in terms of professionalism and customer service.
  • 4. Assist center staff in achieving 60 minute visits as well as answering phones professionally.
  • 5. Resolves patient complaints and request for service promptly and courteously.
  • 6. Administers patient customer satisfaction surveys under direction by Patient Services Administrative Team. Assists Center Manager in the development of an improvement plan to address any deficiencies.
Public Relations
  • 1. Maintains cooperative arrangements with building management, tenants and community resource to provide for facility maintenance and security.
  • 2. In collaboration with Center Manager, establishes and maintains contact with local health agencies and community organizations with which PPWI has current patient care contracts and/or relationships.
Other
  • Performs other duties as assigned.
