This is a 100% Contract position for one year. This appointment may be extended or converted to career status based on the needs of the department.

DESCRIPTION

Academic Affairs is the largest of the vice chancellor areas at UC San Diego. Led by the Executive Vice Chancellor (EVC), it is comprised of seven academic schools, eight undergraduate colleges, the Library and the Division of Extended Studies. The executive vice chancellor area also includes the Divisions of Undergraduate Education and Graduate Education and Postdoctoral Affairs, Enrollment Management, several academic support units, as well as units under the purview of the Vice Chancellors for Student Affairs and Equity, Diversity & Inclusion. Academic Affairs annually manages expenditures in excess of $1.5B, 3M ASF of space and employs over 13,500 academic, staff and research employees. The Office of the EVC provides leadership and support to the units in Academic Affairs and is responsible for policy and procedure development, communication and implementation, resource administration, training and guidance, and professional development for administrators, faculty, and staff.

The Project Policy Analyst will apply their professional skills and experience to conduct analytical studies and projects of moderate scope and complexity, focusing on the Financial Support Payment Tool (FSPT). The FSPT is utilized by graduate coordinators across campus to help determine the amount of financial support for each graduate student. The incumbent will gather and evaluate data, identify alternatives, and make sound recommendations to improve processes and procedures. They will also create training documents, publish knowledge base articles (KBAs) detailing new policies and processes, and administer training to campus partners. Additionally, they will create process maps and workflow documents, develop success metrics, and participate in user acceptance testing and change management activities. They will also provide customer service and develops policies.

The incumbent will also work on special projects related to represented Academic Student Employee activity, including reviewing files and documents, triaging questions, and assisting students. Performs analytical studies on a variety of policies, initiatives, and programs. The individual will work closely with various stakeholders to evaluate and improve policies, and will be responsible for application processing for visiting graduate students and enrollment adjustments.

  • Hybrid work schedule (1-2 days in the office, depending on the season). The work schedule is subject to change based on department needs. Occasional evenings and weekends may be required.
QUALIFICATIONS
  • Experience providing administrative support to a group (supporting more than one person simultaneously) in an office environment or university office environment, including experience with data entry.

  • Proficient skill utilizing Microsoft Office and Google Suite applications including databases, word processing, spreadsheets, power point, and electronic mail. Proficient with virtual meeting platforms. Working knowledge of common organization- or research-specific and other computer application programs.

  • Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Proficient interpersonal skills to successfully interact with a variety of people and offices, at all levels of the university community.

  • Proficient in ability to use discretion and maintain all confidentiality.

  • Demonstrates ability to use sound judgment in responding to issues and concerns. Skill in analyzing information, situations, practices, and procedures to define the problem or objective, identify relevant factors, formulate logical and objective conclusions and recognize alternatives and their implications.

  • Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail.

  • Proficient in ability to multi-task with demanding timeframes.

  • Working knowledge of applicable policy analysis techniques. Ability to independently interpret, analyze, and implement appropriate policies in a given situation.

  • Demonstrated ability to work as a team member, actively listen, learn quickly and take personal accountability for contributing to success of team in meeting programmatic deliverables and organizational objectives.

SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $58,600 - $100,800 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $28.07 - $48.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
