What this job involves:
We have an opportunity for an Executive Team Assistant to join our Corporate Strategy and Development team based in Chicago office. You'll be responsible for providing administrative support to the Corporate Strategy and Development teams as well as working on ad-hoc projects. To succeed in this role you will be proactive with a keen eye for detail and the ability to balance multiple priorities. You'll possess a can-do attitude with proven ability to build and maintain collaborative relationships. You will need to be capable of dealing with ambiguity and solve complex problems effectively. What your day-to-day will look like: Providing wide ranging administrative support to the Strategy and Corporate Development teams Coordinating scheduling and calendar management across multiple time zones and multiple team members Assist in organising team communications and plan events, both internally and offsite Maintaining professionalism and strict confidentiality with all materials, and exercising discretion Leading or supporting senior leadership with special projects and programmes as assigned including taking minutes and following up on action points Managing, coordinating, and arranging travel and related activities, including booking accommodation, visas/tests where applicable Preparing and submitting expense reports and processing invoices in a timely manner Developing and maintaining effective working relationships with leadership team and colleagues Handling client and colleague enquiries in a prompt and professional manner, escalating any issues Desired or preferred experience and technical skills: 5 + years' experience as an Executive Assistant supporting senior management, preferably in complex global organisations Excellent communication skills on multiple platforms/mediums (verbal, written, video calls etc.) Strong time-management skills and ability to organize and coordinate across different time zones Ability to prioritise workload with an attention to detail and willingness to complete projects in a timely and efficient manner Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Teams, SharePoint Flexible team player willing to do what it takes to get the job done Possess strong organisational skills and is able to problem solve Adaptable, enjoys a challenge and can overcome a learning curve quickly Proven ability to handle confidential information discreetly in a diplomatic manner Strong analytical ability to gather and summarise data for reports and find solutions to various administrative issues Bachelor's degree or equivalent experience preferred |
