Position Overview:

  • The Sr. Administrative Coordinator provides support for and coordinates departmental projects and facilitates information exchange between the Johns Hopkins Health System, School of Medicine and other departments, vendors, or outside agencies. This position performs administrative duties such as composing and editing complex correspondence and reports, develops office procedures to ensure efficient and timely operations and may provide advice/guidance to other administrative/clerical staff. The Senior Administrative Coordinator must report to a Director.

Location:

  • Bayview Johns Hopkins Medical Center (ASC Building) in Baltimore, MD.

Schedule:

  • Monday - Friday 8:00 AM - 4:30 PM.

Pay Rate:

  • $27.00 Per Hour.

Requirements

  • Performs a broad variety of intermediate level clerical and administrative tasks as directed and required for the support of the office or individual.
  • Prepares office documents and memoranda, which may include higher-level technical, statistical, and narrative reports; distributes copies of documents as directed.
  • Prepares formal business communication, recurring reports, and similar correspondence; acquires signatures as necessary.
  • Schedules and coordinates meetings and conferences for assigned staff; takes notes, minutes, or other documentation as directed.
  • Maintains the calendar for the assigned department or individual.
  • Maintains and organizes files and records.
  • Greets and welcomes visitors; answers and directs phone calls.
  • Collaborates with other departments to complete some office functions.
  • Connects teams and departments by providing communication, setting up presentations and supporting department initiatives.
  • Coordinate department activities, schedules and projects.
  • Responsible for vendor management, and processing invoices.
  • General budget awareness and understanding of how department processes impact budgets.
  • Strong interpersonal skills are required to interact with Hospital administration, staff, patients and families, as well as to handle confidential and sensitive information.
  • Demonstrated ability to identify, analyze and solve problems.
  • Identify and rectify discrepancies before they escalate, thereby maintaining the integrity and efficiency of administrative processes.
  • Ability to work in metric driven environment with defined expectations for performance levels.
  • Strong interpersonal and teamworkskills with the ability to communicate effectively in verbal and written formats.
  • Ability to maintain composure in high stress situations.
  • Demonstrated ability to exercise good judgment in handling sensitive and confidential information and situations.
  • Effectively uses resources within control.
  • Promotes and achieves savings opportunities to assure budget reductions (along with cost avoidance), while maintaining or increasing quality.

Authority/Decision Making Level:

  • Makes routine departmental decisions based on established guidelines/processes/practices. Prioritizes work to meet changing priorities and requirements. May lead a group or project as assigned. May assist in the training and orientation of new hires to department policies, procedures and practices.

Supervisory Responsibility:

  • No direct supervisory responsibility. May train others on department processes.

Problem Solving:

  • Solves routine departmental inquiries and requests.
  • Engages with departmental stakeholders to review and improve operational efficiencies.
  • Effectiveness in problem solving is required to resolve user concerns/problems regarding vendors, services, billing or various department related issues.
  • Ability to anticipate issues and prevent or minimize problems.

Information Management:

  • Uses and understands departmental forms, requisitions, reports, etc.
    Runs reports of varying complexity, and analyzes and provides data to client groups.

Working Conditions:

  • Works in a normal office environment where there are limited physical discomforts due to temperature, noise, dust, etc.
  • Prolonged periods of sitting.
  • Must be able to lift 10 pounds at times.

Qualifications

  • High school diploma or G.E.D. Certification from an Accredited institute.
  • 5 Years of experience Required.
  • Proficient with Microsoft Office Suite.
  • Familiar with databases and spreadsheets.
  • Knowledge of customer service protocols.
  • Ability to plan, organize, complete and manage programs in the most efficient manner.
  • Strong organizational skills to prioritize multiple tasks and manage deadlines.
