Pro-Active Engineering is adding an Administrative Administrator provides and manages for various departments, including administrative duties for our Design Engineering Team.

Essential Functions


  • Attend all project meetings, create agenda, take minutes and provide recap to all project members, both internal and external.
  • Facilitate project kickoff meetings to thoroughly review and understand the SOW and customer requirements.
  • Enter all new projects in the PM database and ERP system including new quotes and engineering staff assigned to the project.
  • Verify all time/materials have been processed/invoiced prior to job closure meeting.
  • Assist with protype development by submitting PO requests for materials needed.
  • Manage protype materials, once received in, along with disposition upon build completion.
  • Receive, send, manage all quote and production work order requests from the manufacturing department.
  • Work with the Engineering Manager to perform project closures by providing variance reports for project cost and net profit, identifying process improvements, evaluating OTD, and verifying all time/materials have been processed/invoiced.
  • Create and implement administrative and baseline engineering processes by part number management and storage, file management, along with cleaning up, and organizing S Drive.

Required Education and Experience


  • High School diploma or GED
  • Computer skills and knowledge of Microsoft Office Suite.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.


Preferred Education and Experience


  • Associate's degree
  • Two years of related experience
