Summary
Under the direct supervision of Director of Analytics and Compensation, this position provides administrative and secretarial support for the Director of HR Chicago, the Director of HR Corporate, and the Director of Benefits, as well as the corresponding teams of these directors.
Duties and Responsibilities
Schedule and organize complex activities such as meetings, travel, conferences, partner candidate interviews, and department activities
- Act as back-up to Performance Management Coordinator through all performance review processes, including entering late appraisals, organizing electronic review binders, sending follow up emails, and various other associated tasks for the analytics team as well as Chicago office specific related tasks
- Assist with lawyer and staff new hire orientation logistics (conference room, PPT, new hire folders, gift bags, and paperwork)
- Audit and scan corporate and local Chicago new hire paperwork to personnel files; retrieve information from electronic personnel files when needed
- Utilize Microsoft Word, Excel, PPT, Visio, and other organizational chart software to edit and create general correspondence, memos, charts, presentations, etc.
- Maintain current electronic personnel files for lawyers and staff
- Assist with administrative projects, mailings, and testing for annual insurance renewal process
- Assist with departing employee paperwork and logistics for corporate and Chicago HR
- Communicate notary procedures to all active Chicago notaries
- Maintain lawyer and staff open position logs and audit logs
- Route policy questions to the appropriate human resources team or director
- Assist assigned teams in reviewing various reports and output upon request (QA)
- Work in cooperation with/fill in for other HR Administrative Assistants during absences
- Act as a liaison with other departments and outside agencies
- Perform other related duties and special projects as required and assigned
Salaries vary by location and are based on numerous factors, including, but not limited to, the relevant market, skills, experience, and education of the selected candidate. If an estimated salary range for this role is available, it will be provided in our Target Salary Range section. Target Salary Range
$61,000 - $69,000 if located in Illinois
Qualifications

- High School Diploma
- Minimum 2 years of experience in an administrative/executive assistant role (at least 1 year of which should be in person, on site
- Proficiency in MS Outlook, Word, Excel and PPT
- Ability to type with high level of accuracy
- Excellent proofreading skills
- Excellent grammar and punctuation
Preferred:
- Proficiency in MS Visio or other organizational chart software
- HR course of study or related experience
