Business Intake and Conflicts Supervisor

Cooley is seeking a Business Intake and Conflicts Supervisor to join the Business Intake and Conflicts team.

Position summary: The BIC Supervisor is responsible for managing the BIC specialists, analysts and/or senior analysts within a designated region. This role will serve as the liaison between Manager and the assigned team. Additionally responsible for overseeing the daily workflow and timely movement of all requests. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Oversee and monitor workflow of assistants, analysts, and specialists within assigned team(s)
  • Keep managing associate director/director ("manager") informed of daily workflow activities
  • Meet weekly with assigned team and provide written updates for discussion during weekly meetings with the manager
  • Respond to escalated questions from assigned team, including but not limited to: complex conflicts, intake questions, waivers, engagement letters, and strategic conflicts
  • Coordinate with other Supervisors as necessary and collaborate within BIC Leadership group overall
  • Serve as a key BIC representative with designated offices or in designated areas, responding to customer service requests
  • Perform division functions as needed to ensure a steady and timely workflow
  • Respond to status checks and facilitate work, as needed
  • Monitor team coverage of email boxes and queues and ensure timely and appropriate responses.
  • Responsible for processing and clearing all forms within your respective division
  • Proficiency in performing the roles of direct reports and assisting as needed across the respective division
  • Interact regularly with partners, secretaries, and other business professionals through email and telephone to investigate and discuss potential conflict issues and solutions in connection with a new form or other request for assistance
  • Provide regular updates as needed (partners, other practitioners, departments and business professionals) as needed
  • Point of contact for any questions from attorneys, secretaries, or other business professionals, escalating within the BIC Department or to General Counsel's office, as needed
  • Assist in the training, oversight and development of all team members including new hires
  • Provide exceptional client service to internal customers through various means of communication, training and responsiveness
  • Inform and advise firm attorneys and counsel of any special circumstances surrounding complicated matters
  • Stay consistently aware of current legal trends and information
  • Serve as direct supervisor and mentor to direct reports
  • Provide day-to-day supervision of direct reports, ensure compliance with assigned work hours and monitor for compliance with all firm and department policies. Manage staffing coverage, review and process time logs/time off requests
  • Support business professional development and continued educational opportunities
  • In collaboration with immediate supervisor and CN HR, participate in hiring, performance appraisals, counseling, termination and other employee lifecycle events
  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Ability to work extended and/or weekend hours, as required
  • Ability to travel, as required
  • 5+ years of direct applicable experience (e.g., specialized conflicts experience in business intake or conflicts department in a legal setting)
  • Knowledge of American Bar Association's Model Rules of Professional Conduct and California State Bar Association's Rules of Professional Conduct
  • An overall understanding of corporate law practice

Preferred

  • Bachelor's or advanced degree
  • Project Management experience
  • Paralegal case load management experience
  • Paralegal certificate
  • Supervisory experience

Cooley offers a competitive compensation and excellent benefits package and is committed to fair and equitable employment practices. EOE.

The expected annual pay range for this position with a full-time schedule is $110,000 - $155,000. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
