Position Overview

We are seeking a reliable and organized General Administrator to support the daily operations of our office and laboratory staff. The ideal candidate will be proactive, detail-oriented, and capable of managing a wide range of administrative and operational tasks, including facilities coordination, chemical inventory management, and safety oversight.

Job Responsibilities

  • Provide administrative support to managers and staff across departments
  • Organize and maintain files, records, and databases (both digital and physical)
  • Manage incoming and outgoing correspondence, including email, mail, and phone calls
  • Schedule meetings, appointments, and travel arrangements
  • Assist in the preparation of reports, presentations, and other documentation
  • Order office supplies and manage inventory
  • Coordinate with vendors and contractors for the procurement and servicing of equipment and technology
  • Manage chemical inventory systems, coordinating with campus departments and agencies to ensure proper storage, handling, and disposal of chemicals
  • Coordinate regular safety audits and inspections and ensure follow-up on identified issues
  • Support HR processes such as onboarding new employees and maintaining personnel files
  • Handle basic accounting tasks such as invoicing, expense reports, and petty cash management
  • Help coordinate internal events and staff communications
  • Perform other duties as assigned to support team productivity and office efficiency
  • Some physical tasks required (e.g., moving supplies, inspecting facilities)

Minimum Qualifications

Education & Experience



  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred
  • 1+ years in an administrative or office support role; experience with facilities or inventory coordination is a plus



Experience, skills and knowledge



  • Strong written and verbal communication skills
  • Excellent time management and organizational abilities
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment
  • Ability to multitask and prioritize in a fast-paced environment
  • High level of discretion with confidential information

Preferred Qualifications

  • Experience with chemical safety or hazardous materials handling (training provided if necessary)
  • Familiarity with procurement or vendor coordination
  • Knowledge of safety inspection protocols or environmental compliance
  • Ability to work both independently and as part of a team
