Position Summary

The Medical Affairs Senior Manager will have broad project coordination responsibility across the Medical Affairs department with duties involving/supporting the organization, planning, logistics, process, and administration of various medical affairs operations. The Senior Manager will collaborate with a wide range of cross-functional stakeholders as well as external vendors and agencies. The Senior Manager will be accountable for project coordination and ensuring timely delivery of tasks to meet goals.

This position is remote with a corporate headquarters in Foster City, CA and Parsippany, NJ. The Senior Manager will report to the Executive Director, Medical Capabilities.

Primary Responsibilities

  • Independently manage project scope, goals, and timelines
  • Perform administrative tasks, including creating and maintaining project plan documents, meeting scheduling and facilitation, budget tracking, and organizing project agendas, reports, and meeting minutes
  • Serve as the Medical Materials Review Committee (MMRC) coordinator and business administrator
  • Submit medical materials for MMRC review as requested
  • Lead effective and compliant platform solutions for medical materials, corporate memberships, and sponsorship review and funding processes
  • Represent Medical Affairs in cross-functional meetings and congress planning (e.g., scheduling, logistics, congress booth design, staffing, and some sponsorships)
  • Support Medical Affairs on-site at major medical congresses (e.g., booth support, meeting room coordination/scheduling, room blocks, etc.)
  • Manage key medical affairs vendor relationships
  • Support Medical Affairs leadership team operational tasks (e.g., project coordination, internal meeting logistics and scheduling, meeting organization and facilitation, etc.)
  • Support medical affairs tactical execution (e.g., advisory boards, HCP contracting, etc.)
  • Maintain repository of approved medical materials (e.g., slide decks, congress materials, medical information response documents, etc.)
  • Submit contracts and SOWs, manage billing while ensuring timely payments, and track financials within budget tracking software
  • Coordinate with Finance to track the Medical Affairs budget and communicate with internal stakeholders
  • Perform related duties as assigned

Experience

  • Bachelor's degree in science, life science, or related discipline
  • Minimum of 5-7 years of biotechnology/pharmaceutical industry experience; oncology/hematology therapeutic indications preferred
  • Minimum of 3 years of experience in Medical Affairs or Medical Communications
  • Experience with Veeva systems or similar software
  • Experience with contracting and finance platforms (e.g., Conga and Coupa)

Salary Statement:

Offered compensation is determined based on market data, internal equity, and an applicant's relevant skills, experience, and educational background. The salary ranges displayed below are only for those who, if selected for the role, will perform work in the specific locations listed. Please note the employment opportunity is not limited to these locations.

General Salary Range: $145,000 to $165,000
