What You Will Be Doing

Candidate will work as a member of WilmerHale's internal Partner Compensation and Tax (PC&T) team to support all department operations. Candidate's responsibilities will include, but not be limited to, ensuring the timely filing of all tax returns including tracking all return due dates, coordinating with external preparers, obtaining signatures, distributing/mailing all returns, and assisting PC&T team members as needed. Candidate will support the department in its day-to-day customer service to the partners and former partners by prioritizing email communications from them, identifying the appropriate team member to respond if candidate is unable to provide response, and monitoring responses to ensure all requests have been handled. Candidate will be instrumental in managing all departmental project timelines and ensuring retention of documentation. Candidate will work to improve efficiency by automating processes and utilizing available enhanced technology resources.

About this Role



  • Manage partner capital loan process
  • Record and track partner capital contributions; prepare reports for management; monitor partner capital accounts; prepare quarterly capital statements.
  • Prepare quarterly withholding tax statements for partners.
  • Assist with the creation and maintenance of a partner database.
  • Review and update partner data and financial information regularly to ensure integrity of the data.
  • Serve as contact point for all department communication, prepare responses, or assign to team members as appropriate. Ensure timely follow-up and resolution.
  • Manage tax calendar/due date listing and ensure all items are appropriately assigned and completed timely; analyze and research new tax filing requirements, including monitoring and summarizing work location data.
  • Serve as project manager and documentation coordinator for all department projects. This includes recurring projects such as annual Partner Tax Questionnaire, annual tax workpaper preparation, etc., as well as special projects as assigned.
  • Upload all documents to the Partner TeamSite (including Schedule K-1s, capital statements, profit distribution statements, etc.).
  • Facilitate mass email correspondence and information distribution to partners.
  • Manage and track all tax notices/audit communications/information requests from tax authorities, draft responses, and gather supporting information for tax positions. Correspond with taxing authorities as needed.
  • Contribute to WilmerHale's Service Excellence initiative to consistently improve its image internally and externally. Display integrity, quality service and a "can do" attitude to internal members/departments of the Firm as well as external clients and vendors via electronic and print correspondence, over the telephone and in-person.




Required Skills


Your Qualifications/What You Will Bring



  • Experience with managing significant volume of monthly, quarterly, and annual tax filings is imperative. The ability to multitask and work simultaneously with multiple projects and various team members is critical.
  • Attention to detail and deadlines.
  • Strong organizational skills and ability to multitask.
  • Strong communication skills both oral and written with individuals at various levels.
  • Demonstrated ability to effectively use PC-based and on-line technology, Excel, Outlook, Word, presentation software, etc. Database experience is a plus.
  • Excellent interpersonal skills to achieve working effectively with individuals at all levels, both internally and externally.




Required Experience


Experience:



  • Minimum 5 years of experience directly related to the duties or skills described herein.
  • Public accounting experience in tax arena preferred, law firm experience a plus.
  • Microsoft Excel/Word/PowerPoint/Outlook required; database experience a plus.


Education:



  • Bachelor's degree in business related field preferred. Relevant experience will be considered in lieu of degree.
