Human Resources Clerk (Temporary)

Job Summary:

We are looking for a highly organized and detail-oriented Human Resources Clerk for a temporary, project-based role. This position will provide essential administrative and clerical support to the Human Resources department, specifically focusing on I-9 compliance cleanup. The ideal candidate will be a proactive self-starter with excellent communication skills and the ability to manage multiple tasks in a fast-paced construction environment.

Essential Duties and Responsibilities:



  • Data Entry & Management: Accurately input and maintain HR data related to the project in the HRIS (Human Resources Information System) and other relevant databases. This may include employee records, compliance documents, or project-specific personnel details.
  • Document Preparation & Processing: Prepare, organize, and process a high volume of HR-related documents for the project, specifically related to I-9 compliance. Ensure all documents are accurate, complete, and filed appropriately.
  • Onboarding/Offboarding Support (Project-Specific): Assist with project-specific onboarding processes for new hires. This may involve reviewing and verifying I-9 documentation, conducting audits for compliance, and communicating with employees to resolve discrepancies or gather required information.
  • Compliance Support: Aid in gathering and organizing documentation for project-related HR compliance audits (e.g., I-9 documentation) or internal reviews.
  • Communication & Coordination: Serve as a point of contact for project-related HR inquiries, directing questions to the appropriate HR personnel or resources. Coordinate with other departments (e.g., Payroll, IT, Project Management) to ensure smooth HR processes for the project.
  • Reporting & Analysis: Assist in generating basic HR reports and spreadsheets as required for project tracking and analysis.
  • General Administrative Support: Perform general clerical duties, including scanning, filing (electronic and physical), copying, and managing office supplies relevant to the HR project.
  • Special Projects: Support other HR initiatives and special projects as assigned by the HR management team, particularly those related to the project's scope.


Position Requirements (Work Experience, Skills, Licenses, etc.):



  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
  • Excellent verbal and written communication skills, with a professional and approachable demeanor.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities and deadlines effectively in a fast-paced, dynamic environment.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive, self-motivated, and able to work independently with minimal supervision, as well as collaboratively in a team environment.


Education and Experience:



  • High School Diploma or equivalent
  • Required: 2+ years of administrative support experience, with at least 1 year in an HR department, preferably within the construction or a related industrial environment.


Desired:



  • Associate degree or higher in Human Resources, Business Administration, or a related field preferred.
  • Experience with HRIS software (e.g., Oracle HCM, Workday, or similar) is highly desirable.
  • Familiarity with project management tools or software (e.g., Smartsheet).
  • Experience with applicant tracking systems (ATS) like Oracle HCM.
  • Basic understanding of HR principles and best practices.

Travel Requirements:

Travel required 0-5% of the time to other office locations.

Hours:

This is a non-exempt position from Monday through Friday. Work hours begin and end between 8:00 am and 5:00 pm with a one-hour break for lunch and two rest breaks. Eight hours per day is required and other occasional overtime may be necessary for business needs

Physical Demands:



  • Must frequently lift and/or move up to 5 pounds and occasionally lift and/or move up to 15 pounds.
  • Specific vision abilities required by this job include close vision and ability to adjust focus.
  • Prolonged sitting.
  • Frequently required to reach with hands and arms.
  • Occasionally required to stand; walk and stoop, kneel, crouch.


Competitive Wages:

$17.38 to $22.38 per hour. Applicants please note that actual compensation is determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location, among others. The offered wage or salary is only one aspect of an employee's total compensation.
