About the Job

Job Summary:

This dynamic position provides essential communications and administrative support to the Department of Family Medicine and Community Health. The work primarily involves helping to craft compelling messages, manage communication channels, and support various initiatives that highlight our commitment to patient care, medical education, research, and community health. Simultaneously, the position is part of the administrative core, providing critical support that underpins our daily functions, including faculty support, document management, and general office coordination.

This position is based out of Minneapolis, MN and is eligible for hybrid work from home and/or on campus work dependent upon individual performance and organizational need, though some regular on-site work will be expected. Because the University of Minnesota is a land-grant institution that serves the state, residing in Minnesota is typically required.

Job Duties:

Communications (60%):

  • Draft, edit, and proofread a variety of communications materials, including internal announcements, press releases, website content, social media posts, newsletters, presentations, and reports.
  • Communicate with internal and external stakeholders as the primary point of contact for the department. Develop and maintain consistent departmental messaging including responding to various inquiries made to the general department and departmental communications inboxes.
  • Conduct interviews with faculty, staff, and residents and write feature content for departmental communications.
  • Assist in maintaining and updating department website content including updating faculty bios and residency program pages.
  • Support the creation of marketing resources, presentations, and other promotional materials.
  • Create, edit, proof, and submit print materials for production (e.g. residency photo composites).
  • Prepare and distribute mass emails using Salesforce Marketing Cloud.

Marketing & Social Media (20%):

  • Provide in person support for internal and external guests and communicate with current and potential faculty and students, community partners, and the general public to promote the Department of Family Medicine and Community Health.
  • Create content for and assist in maintaining and updating department social media channels.
  • Create and send email campaigns (e.g. Grand Rounds).
  • Create and manage digital signage content using Adobe Express templates while ensuring content complies with U of M branding standards and guidelines.

Academic/Administrative (20%):

  • Maintain and organize faculty files, including adjunct and other faculty appointments.
  • Ensure standardized medical school formatting in annual collection of faculty CVs. Assist faculty as needed with editing.
  • Support Department meetings and events in rotation with other staff to provide general support. Requires in person work multiple days per week.
  • Assist with special projects and initiatives as assigned by the Department Administrator.
  • Coordinate departmental events: reserve and prepare meeting rooms, arrange and assist with audiovisual equipment, create signage and meeting materials, assist with creation of presentations, contact speakers, and coordinate refreshments.

Qualifications

Required Qualifications:

  • BA/BS degree or a combination of related education and work experience to equal at least four years.
  • Excellent communication and interpersonal skills, written and verbal, to effectively interact with a broad range of leadership, faculty, staff, students, and the public at various levels.
  • Willingness to take initiative; organized self-starter able to work without close supervision.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Gmail, Calendar, Drive, Docs, Sheets, Slides).
  • Ability to lift and carry up to 25 pounds, travel between offices/buildings to carry meeting materials, mail, and packages, and set up for meetings. Must be able to work occasional overtime and have flexibility of schedule to cover deadlines and early/late meetings.

Preferred Qualifications:

  • Exceptional written and verbal communication, editing, and proofreading skills.
  • Proficient in Adobe Creative Cloud, including InDesign, Photoshop, Illustrator, and Acrobat Pro, as well as content management systems and other graphic design software.
  • Experience updating and maintaining websites, including experience with Drupal.
  • Knowledge of email marketing platforms (e.g., Mailchimp, Constant Contact).
  • Experience maintaining A/V conferencing equipment, set up, and troubleshooting.
  • Knowledge of University of Minnesota business procedures and policies.
  • High attention to detail, consistently follow detailed processes, and ensure accuracy in documentation and data.
About the Department

The Department of Family Medicine and Community Health at the University of Minnesota was created more than 50 years ago in response to a legislative mandate to train primary care physicians. Since then, we have been leaders in transforming the specialty through education, research, and patient care. We are the academic sponsor of seven family medicine residencies-five in the Twin Cities, two in Greater Minnesota. We are involved in medical student education activities across the Medical School's two campuses: Twin Cities and Duluth. We sponsor five fellowship programs-sports medicine, hospice and palliative medicine, behavioral medicine, clinical informatics, and human sexuality- and offer continuing medical education opportunities. Pay and Benefits

Pay Range: $24.72 to $26.44 per hour, we anticipate most offers will be around the midpoint of this range, depending on education and experience.
