Job Summary

Provides advanced administrative office support, secretarial support, and/or program coordination activities for the Physical Sciences Department and the Chemistry Department. This position plays a key role in coordinating department projects, timelines, and communication, including class schedule building, staffing, instructor evaluation coordination, front-line communication with both residential and adjunct faculty, and budget and account management. Leads the work of temporary employees within the department.

Essential Functions

30% - Service support functions include overseeing the front desk receptionist duties, scheduling appointments, student "intake", and organizing statistical data for review; coordinating work schedules for temporary employees

30% - Instructional support functions such as coordinating and processing class schedule building, classroom/room reservation, ordering textbooks, contacting adjuncts, finding subs, assisting with faculty hiring/onboarding, sending communiques

20% - Assists with HCM, FMS, SIS functions, time and labor; monitoring and ordering supplies inventory, monitoring and tracking department budget and expenses, and retrieving and verifying information in SIS in accordance with established standards and guidelines

20% - Prepares and maintains routine and non-routine correspondence, reports, documents, records, and files; manages documentation/record-keeping system in accordance with established standards and guidelines. Updates and maintains schedules, calendars, and related meeting materials, including department meeting agendas and meeting minutes

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Two (2) years or more of documented experience planning and/or compiling information in support of projects and services

B. Two (2) years or more of documented experience using various software applications to produce reports and complete projects

C. Two (2) years or more of documented experience working in a customer service environment

D. Experience working in an educational institution

E. Excellent communication skills as evidenced in the cover letter and resume, as demonstrated by the applicant's composition, grammar, spelling skills, and attention to detail

Special Working Conditions
  • Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: http://www.maricopa.edu/legal/rmi/vehicle.htm#requirements
  • Travel to campus during interview/selection process will be at candidate's own expense
  • May be required to travel or be assigned to all MCCCD locations
  • May require numerous evenings or weekends
