Position Summary:
We have an exciting opportunity to join our team as a Development Specialist.
In this role, the successful candidate will report to the Associate Director of Donor Experience. The Experience Specialist is an integral part of the Donor Experience team and is responsible for planning and implementing NYU Langone Healths major fundraising, cultivation events and experiences from concept to completion. This position works collaboratively with the Associate Director of Donor Experience, Gift Officers, Department Directors, Faculty, Committees and NYU Langone Health Board members. The Specialist works on institution-wide and event/experience-specific strategic planning, autonomously managing projects and support personnel as needed.
Job Responsibilities:
- Responsible for overall project management relating to the coordination and execution of respective events and virtual experiences including: budget planning; venue/platform selection; contract negotiations; committee and sponsor solicitation; catering; decor; entertainment; staffing; audio visual; gift and award selection; seating; donor list management, program logistics, speaker and presenter preparation; live and silent auction preparation (if applicable); and all operational tasks. Serves as the on-site/virtual producer/stage manager; directs staff and manages vendors. Ensures seamless and professional execution is delivered to guests.
- Works closely with event committees, chairpersons, NYULH Trustees, board members, departmental leadership, other internal administrators and senior development staff to guide event and experience structure, strategy and execution to further the goals of the Office of Development and Alumni Affairs, and of the institution.
- Collaborates with the Development Communications team to coordinate the program, production of speeches, solicitation letters, invitations, and any other related print and electronic collateral materials.
- Works closely with Gift Officers to cultivate donors and secure gifts; coordinates outreach and briefing information.
- Creates timelines, task lists and appropriate information channels with team members so project is completed in a timely fashion; updating team manuals accordingly.
- Evaluates ROI for experiences and creates post-experience analysis reports; considers appropriate measures and related metrics that can track cultivation and stewardship ROI throughout the giving cycle.
- Oversees all post event/experience follow-up including money collection, billing and acknowledgment process for event and experience-related gifts to ensure a timely reconciliation process.
- Develops relationships with vendors; researches new vendors, venues, and virtual platforms; builds a reference file for others to use.
- Measures operational policies and procedures for effectiveness and ROI. Develops, improves, and implements policies and procedures to support the functions of the Donor Experience Division. Educates development staff on event/experience processes, procedures, and best practices.
- Ensures that event/experience direction complies with Health System public relations, media, marketing and stewardship outreach vehicles with a firm approach to brand the mission of the organization.
- Trains and mentors team members; allocates resources and delegates responsibility appropriately.
- Recruits and manages event volunteers as needed.
- Performs other duties as assigned.

Minimum Qualifications:
To qualify you must have a Bachelor Degree required.
4-6+ years of intensive experience in event planning and/or experiential marketing, preferably in the non-profit sector.
Strong familiarity with food and beverage and social protocols, while also adept at learning and managing new technologies/platforms necessary to facilitate best in class events.
Balances creativity and a flexible outlook with institutional priorities and norms, offering fresh perspective to experiential opportunities with our donors/prospects, in efforts to re-imagine events by making critical tweaks that further refine and drive the goal of the experience.
Experienced in working directly with C-suite executives, various donor types, and/or clients. Exhibits a high emotional intelligence, as interactions/communications will vary from patients to high-level donors/prospects and internal/external leadership. Consistently maintains a polished, diplomatic approach at all times, with ability to adjust tactics as needed.
Excellent communication skills, both written and spoken. Exhibits high-level critical thinking, with the ability to guide audience-centric programmatic decisions, liaising with communications team as appropriate to refine meaningful narrative(s). As needed, ability to identify and articulate appropriate communications resources required, while creating a collaborative environment across internal and external partners, with the success of the program at the helm.
Exercises good judgement, is extremely productive, organized, self-motivated, results-oriented, dedicated, highly responsible, personable, and able to work in a team environment.
Displays a professional attitude and ability to handle multiple projects in a busy and fluid environment, demonstrating strong project management across teams. Ability to remain positive and calm in times of stress or difficulty is integral to success in this role.

Knowledge of HIPPA rules.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $97,231.68 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
