Overview

We're seeking an experienced Executive Coordinator for Special Events to be an integral part of TRCs Security and Emergency Management practice and a trusted member of a team responsible for supporting our government and commercial sector clients in a fast-paced and dynamic environment. In this role you will primarily be supporting executive leadership with the preparation and facilitation of meetings and working groups, coordinating project timelines and deliverables, ensuring effective communication across a broad range of stakeholders, and supporting the client with other duties that may be assigned.

The successful candidate will possess exceptional organizational and communication skills, coupled with the ability to quickly adapt to evolving project requirements. This role requires a self-starter who can maintain progress in a complex environment, collaborating with a large group of diverse stakeholders in leadership positions and establishing the groundwork to facilitate positive outcomes on tight timelines.

This position requires the candidate to be in daily commuting distance to Boston, MA.


Responsibilities

  • Support large-scale special event project coordination, planning, and support activities.
    • Track project deliverables, deadlines, and key decisions to ensure alignment with strategic objectives.
    • Prepare agendas, briefing materials, and action items for meetings; assist with facilitation and accurate documentation of tasks and outcomes.
    • Serve as a key liaison between executive leadership and stakeholders to ensure effective communication and information sharing.
    • Support the development and maintenance of project documentation, standard operating procedures (SOPs), and after-action reports.
    • Identify and address project risks, obstacles, or resource gaps, escalating issues proactively to leadership.
  • Provide executive-level project support, including calendar management, preparation of reports, presentations, and meeting materials.
  • Potential after-hours support during major events or unplanned incidents, as needed.
  • Work collaboratively with federal, state, local, and private-sector partners to coordinate initiatives and maintain project momentum.
  • Perform other job-related duties as assigned.
  • Communicate updates and support needs to TRC management and client leadership.
  • Travel throughout the greater Boston area as needed (5-15% of month)

Qualifications

  • Bachelor's degree preferred
  • Five (5) to Eight (8) or more years of experience in project coordination, special event management, executive support and meeting facilitation, or similar roles supporting complex initiatives.
  • Demonstrated success coordinating multi-stakeholder projects in fast-paced, high-visibility environments.
  • Background in emergency management, security, project management, and/or executive support.
  • Proven ability to facilitate meetings, guide discussions, and drive progress.
  • Strong organizational and project management skills with the ability to prioritize competing tasks effectively.
  • Excellent written and verbal communication skills, including technical writing, meeting documentation, and executive-level correspondence.
  • Ability to work effectively with senior executives, government officials, and diverse stakeholders including security, emergency management, and law enforcement.
  • Proficiency with MS Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Teams).
  • S. Citizenship with current driver's license and the ability to pass background checks, including criminal history.
  • Ability to attend in-person meetings and events in the Boston, MA area, with occasional travel as needed.
  • Ability to remain composed and effective in high-pressure situations.
  • Basic business acumen and the ability to understand, support and grow client relationships.

Additional Valued Skills and Certifications:

  • Familiarity with homeland security, emergency management, public safety, transportation, or similar sectors.
  • Working knowledge of Incident Command System (ICS) or National Incident Management System (NIMS).
  • Security clearance or eligibility for one (preferred, but not required).
  • Experience with Agile project management principles and practices.
  • Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification (preferred, but not required).
  • Certified Emergency Manager (CEM) or related credential (preferred, but not required).
  • Certification as a Physical Security Professional (PSP) or Certified Protection Professional (CPP) via ASIS International or similar (preferred, but not required).
  • Bi-or multi-lingual skills

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

Other Compensation: Employee may be eligible for participation in the Company's annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.
