Position Summary:

The Data Specialist reviews selection criteria, evaluation parameters, and analyzes diagnostic information to determine inclusion and exclusion of clinical data entry into the database. This role will gather clinical data from various medical records, internal and external data sources, for the purpose of reporting to registry stakeholders. The Data Specialist will compile all required information, including outcome and process measures, annual follow-up, and ongoing vital status. In addition, the Data Specialist will assist with accuracy, integrity, and compliance with registry documentation, coding practices, and regulatory reporting standards.

The role ensures compliance with regulations and requirements through ongoing monitoring, education, auditing, and quality control/assurance. The Data Specialist will analyze data to derive actionable insights and inform Leadership of potential quality and safety risks. This role will be responsible for research generation, peer publications, and ongoing education and training of junior staff. This role may participate in hospital committees and data analytics work groups. This role is responsible for supporting Johns Hopkins Hospital, Johns Hopkins Bayview, Johns Hopkins Howard County Medical Center, Suburban Hospital, Sibley Hospital, and All Children's Hospital. The role reports to the Department of Surgery Cardiac Surgery leadership. Data Specialist provides advanced registry expertise, assisting in managing day-to-day operations of the Registry, ensuring accurate reporting of patient information, and maintaining compliance with regulatory standards. Assists in providing education and training to Registry staff on clinical best practices, documentation standards, and regulatory requirements. Will be involved in the operations of multiple registries.

Requires successful completion of:



  • Baccalaureate degree from an accredited School OR requires successful completion of the academic requirements or Health Information Technician - RHIT or Registered Health Information Administrator - RHIA certification accredited by the Commission on Accreditation for Health Informatics and Information Management Education (CAHIIM).
  • In lieu of education, seven years of related work experience will be considered.


Knowledge:



  • Strong working knowledge of medical procedures and clinical informatics related to the assigned registry
  • Strong working knowledge of data privacy and handling
  • Knowledge of the Healthcare Insurance Portability and Accountability Act (HIPPA)
  • Data mining, statistics, and dashboard reporting
  • Microsoft Office Suite, virtual meeting applications
  • Competent in data management systems and clinical data analysis, and reporting
  • Develop materials using data analysis to generate reports and presentations for QI committees, clinical and administrative teams
  • Assists with the supervision and coordination of the review, interpretation, and update of registry reports
  • Experience with national benchmarking databases and registries
  • Research support as delegated by the manager
  • Familiar with financial requirements for the registry
  • May assist in the performance and productivity evaluation of staff
  • Assists with the development of education for Registry and clinical staff as needed
  • Prepares and maintains training documents on data collection and report generation
  • Participate in the interviewing, hiring, and onboarding of new Registry staff
  • Functions as a subject matter expert and actively participates/leads discussions in departmental huddles and meetings
  • Assists leadership with managing daily staff workflows
  • Positive role modeling to support ongoing registry goals
  • Strong awareness of regulatory documentation
  • Develop regulatory documentation for audit management
  • May lead peer-reviewed audits, quality reviews
  • Assists with the coordination and management of internal and external audits of the registry, operational reporting, and research projects
  • Will assist the manager as the primary point-of-contact for all administrative tasks, including the registry software, including but not limited to creating/disabling user accounts and ensuring that the Site Profile is always up to date
  • Performs other related duties as assigned


Skills:



  • Must be comfortable with, but not limited to: Microsoft Office Suite, web browsers, email, electronic health records, online collaboration software, virtual meeting applications
  • Must be familiar with various technologies, such as, but not limited to, security (e.g., Citrix), data collection/abstraction, encoders, web-based applications
  • Ability to work independently and be self-directed
  • Ability to work under pressure to meet submission, project, and reporting deadlines
  • Ability to work in a dynamic, team-oriented environment
  • Up-to-date understanding or experience with clinical registries and research
  • Ability to work in a fast-paced academic teaching hospital
  • Proficient in organization, management, and prioritization of workflow assignments for staff
  • Proficient in time management and prioritization of workflow assignments
  • Strong attention to detail
  • A strong understanding of medical terminology, abbreviations, and concepts
  • Strong interpersonal skills and ability to effectively communicate with team members and client contacts
  • Proficiency in data abstracting and entry into all databases used for clinical documentation
  • Ability to productively interact with all areas of the health system to support revenue generation


Required Licensure Certification, etc.:



  • Certification in the registry of hire
  • In lieu of certification, seven years of related medical experience will be considered


Work Experience:



  • Minimum of five years of related healthcare experience or data entry


Salary Range: Minimum 28.47/hour - Maximum 47.00/hour. Compensation will be commensurate with equity and experience for roles of similar scope and responsibility.

In cases where the range is displayed as a $0 amount, salary discussions will occur during candidate screening calls, before any subsequent compensation discussion is held between the candidate and any hiring authority.
