Job Summary

Provides high level administrative and operational support for the Institute's grant funded programs including the FIU Research Center in Minority Institutions (RCMI). Under the direction of Community-Based Research Institute (CBRI) and RCMI leadership, this role will manage key administrative functions including travel coordination, procurement, and financial reconciliation for the RCMI Administrative and Research Capacity Cores and other CBRI projects as needed.

  • Coordinates the Community-Based Research Institute (CBRI) travel processes, including pre approval requests, travel authorizations, expense reports, and reconciliation in accordance with university and sponsor guidelines.
  • Oversees purchasing and procurement functions, including vendor registration, PantherSoft transactions, requisition submission, and tracking of purchase orders.
  • Initiates and tracks allowable purchases using the university-issued ProCard in compliance with FIU policies and sponsor requirements; reconciles transactions and maintains supporting documentation.
  • Supports implementation and scheduling of core activities such as faculty research development events, research training, and scholarly dissemination.
  • Works closely with RCMI Research Capacity Core to manage dissemination efforts, including drafting and distributing content for the Listserv, Research Digest, and FIU Develop.
  • Advises CBRI and RCMI leadership on budgetary and fiscal compliance issues, identifies potential discrepancies, and proposes corrective actions.
  • Collaborates with the RCMI Core leaders and Program Managers, Office of Research and Economic Development (ORED), Division of Research, and College finance offices to ensure proper alignment between project activities and administrative procedures.
  • Interprets and applies administrative policies and fiscal procedures; recommends improvements to streamline the Center's internal operations.
  • Assists with payroll transfers, effort allocations (e.g., epafs), and supports onboarding of new staff or affiliated faculty.
  • Reviews operational data to support quality improvement initiatives and program evaluation.
  • Prepares documentation and summary reports for audits, progress reports, and internal reviews.
  • May supervise or provide guidance to junior administrative staff or student assistants.
  • Performs other duties as assigned that support the mission and operations of CBRI and RCMI.
  • Serves as the university's credit card user for departmental transactions. Adheres to university's rules and regulations.
Minimum Qualifications

Bachelor's degree and three (3) years of office or related experience.

Desired Qualifications

  • Experience supporting federally funded research projects or academic research centers.
  • Familiarity with FIU Systems including PantherSoft (Financials and HR), and ECRT university level travel and purchasing systems.
  • Knowledge of NIH, HRSA, SAMHSA, or other federal agency funding mechanisms and requirements related to grant administration.
  • Proficiency with Excel, Word, and reporting systems for fiscal and personnel tracking.
