DOT is seeking a highly organized, detail-oriented Administrative Assistant to support the executive team and manage the day-to-day administrative and operational functions for the Department of Sustainable Delivery (DSD). DSD is a new division within the NYC Department of Transportation created to respond to the rapid growth of app-based deliveries and the increasing use of electric micromobility devices such as e-bikes, mopeds, and scooters. DSD brings together data analytics, policy, enforcement, education, and industry oversight to address the unique safety and operational challenges posed by the commercial use of micromobility. The division works to reduce conflicts on city streets, hold delivery companies accountable for platform-driven behavior, and ensure that micromobility continues to support a more efficient and sustainable transportation future.

Under the direction and supervision of the Deputy Commissioner for DSD, the Administrative Assistant will: provide direct administrative support to the executive staff, including schedule and calendar management, meeting coordination, note-taking, and document preparation; screen and route incoming telephone calls from the general public, political appointees, and other government agencies; support the hiring and onboarding of new staff, including coordinating interviews and working with Facilities and IT to set up workstations and access to software and collaboration tools; oversee matters relating to HR (Personnel, EEO, Trainings, Personnel Actions, Task & Standards and PE's, CityTime, Absent Control, Fleet, People Search etc.); manage office inventory, including office supplies, equipment, and other fiscal and procurement needs including P-Card and travel requests; supervise administrative staff, including administrative assistants, principal administrative associates and interns; maintain office policies and procedures to ensure compliance with city and agency regulations; perform other administrative tasks as assigned to support a growing and fast-paced team, among other duties.

Minimum Qualifications

Qualification Requirements
1. High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or
2. Education and/or experience which is equivalent to "1" above.

Preferred Skills

Knowledge of NYC government and transportation issues. Experience using Microsoft Office or Microsoft 365 (MS Word, MS Excel, MS Outlook Calendar) and Adobe products (PDF). Strong analytic, communication and writing skills. Ability to work in a collaborative, creative and results-oriented environment. Experience with scheduling tools and virtual meeting platforms (e.g., Zoom, Teams) preferred. Prior experience supporting senior executives is a plus.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
