Location Designation:Hybrid - 3 days per week We are seeking a highly motivated and experienced Executive Assistant to provide both strategic and tactical support to the Chief Information Officer (CIO) of New York Life's Foundational Business (FB). This individual will play a key role in enabling the success of the CIO and the broader leadership team by managing complex scheduling needs, coordinating administrative operations and supporting the execution of team priorities. What You'll Do: This role requires a proactive, detail-oriented and adaptable professional who thrives in a dynamic environment. The Executive Assistant will also serve as a liaison between senior leaders, their teams, and various business stakeholders, contributing to internal communications, operational planning and cross-functional collaboration. Administrative Leadership & Calendar Management * Manage complex and dynamic calendars, coordinating across multiple time zones and stakeholders to ensure seamless scheduling. * Prioritize critical activities and ensure timely execution of deliverables on behalf of the CIO. * Coordinate meeting logistics, including room setup, video conferencing, catering, and IT support. * Arrange travel, accommodations, and itineraries; prepare and reconcile travel and expense reports. Operational & Project Support * Provide support for day-to-day operating priorities and strategic initiatives. * Assist in tracking and organizing team goals, metrics, and key deliverables. * Project manage small- to mid-scale internal initiatives as needed. * Coordinate with the broader admin team to support department-wide needs. Meeting & Presentation Preparation * Lead the development of meeting agendas, materials, and logistics for internal and external meetings (e.g., leadership meetings, technology forums). * Draft, format, and refine executive-level presentations and written communications using Microsoft Office tools. * Ensure clarity, consistency, and alignment of materials with strategic objectives. Communication & Stakeholder Engagement * Draft and edit internal communications, emails, memos, and reports on behalf of the CIO. * Build and maintain strong relationships with other Executive Assistants and senior leaders across the organization. * Provide occasional back-up support to other EAs and handle ad-hoc administrative tasks (e.g., compliance reporting, recognition program tracking). Flexibility & Confidentiality * Maintain a high level of discretion, professionalism, and confidentiality at all times. * Adapt to changing priorities and remain responsive to evolving business needs. What You'll Bring: * Minimum 8 years of experience supporting senior executives in a corporate environment. * Exceptional organizational skills and attention to detail. * Proven ability to multi-task, prioritize effectively, and follow up with a sense of urgency. * Strong written and verbal communication skills, including the ability to draft executive communications. * High level of professionalism, diplomacy, and judgment. * Proficiency in Microsoft Office Suite: o Word: Professional document creation and formatting. o PowerPoint: Design and formatting of executive presentations. o Excel: Foundational skills in data organization, tables, and basic charting. * Prior experience with task management or project coordination is a plus. * Bachelor's degree preferred. #LI-VL1 #LI-HYBRID
Pay Transparency Salary Range:$72,500-$110,000 Overtime eligible:Nonexempt Discretionary bonus eligible:Yes Sales bonus eligible:No Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
