The Organization

ProBAR empowers immigrants through high-quality legal information, representation, and connections to services. ProBAR serves immigrants in the Rio Grande Valley and Houston regions with a particular focus on the legal needs of adults and unaccompanied children in federal custody. Job Summary/General Purpose of Job


Accountable for handling all operations related to business-related purchasing in support, an organization with multiple streams of funding, staff size of 100+ people, and multiple stakeholders. This position is for a duration of three months, with an extension possible contingent upon funding availability.

Essential Job Functions and Responsibilities (listed in order of importance and/or time spent)


  • Handle and submit corresponding expense reports for purchases handled by corporate card(s) and other approved payment methods.
  • Review and where necessary revise expense reports submitted for approval. Ensure expense reports are compliant with corporate and funder policies.
  • Handles purchase of professional memberships as well as registrations or licenses for professional training and webinars.
  • Orders and tracks purchase of office supplies and equipment needed for division operations. Maintain proper organization of records and files to facilitate effective project management and collaboration.
  • Works in accordance with other teams for continuing vital operations in midst of disruption or disaster, and disaster recovery.
  • Performs other related duties as required.

Required Education, Qualifications, Experience


  • Possession of a high school diploma or GED.
  • Previous experience in administrative assistant or similar role.
  • Strong organizational skills and attention to detail.
  • Must be familiar with conducting virtual meetings, training, and observations on software such as Zoom, Teams, etc.
  • Advanced proficiency with Adobe and Microsoft Office products (Word, Excel, OneDrive, Teams)

Preferred Education, Qualifications, Experience



  • Possession of an associate's or higher degree in business administration, accounting, bookkeeping, or another work-related field.
  • Prior experience in purchasing, accounts payable/receivables, or another work-related field.
  • Intermediate to advanced proficiency in English and Spanish in written and spoken forms.
  • Prior volunteer, community, or work in non-profit.

Physical Requirements

Continuously operates a computer and other office machinery, such as telephone, copy machine, and computer printer.

Travel


As a normal course of business, this job will typically require travel of less than 5% of the time.

The Salary

The starting hiring salary for this position is $37,694.00 based on relevant experience and education.
