Specialist, Payroll & HRIS Date Posted: *** Location: Amarillo, Texas Work Hours: 8:00 am - 5:00 pm Workdays: Monday - Friday Reports To: Manager, Payroll & HRIS Pay Frequency: Bi-Weekly FLSA Status: Hourly Salary Range: $**,000 - $**,000 Job Summary As the successful candidate, you will support: * The payroll functions in processing team member compensation accurately, and in a timely manner, maintaining payroll records, verifying timesheets, coordinating payroll reporting, and ensuring compliance with Modern's policies and applicable regulations. * Modern's commitment to data accuracy in our HRIS system (Paycom) through periodic audits, maintaining and updating information entered, scheduling ongoing reports, and training front-line users, managers, and the HR Team in building their proficiency to use the system. * Our commitment to providing timely administration of our benefits and wellbeing program including, but not limited to Insurance and retirement plans, wellbeing requirements and initiatives, and leaves of absences. This will be accomplished through partnership with the HR Team, generating reports, timely communication with our team members, and ensuring compliance with relevant regulations. Primary Responsibilities Payroll Administration - * Process payroll for all team members, in the United States, on a bi-weekly/weekly basis * Serve as a back-up for the weekly payroll processing in Puerto Rico * Review and verify timesheets, deductions, and Leave of Absence (LOA) requests, to ensure accurate payroll calculations * Maintain accurate time away accruals for new hires, transfers, and LOA team members * Review team member and payroll data into Paycom, maintaining accurate records of payroll documentation and transactions * Respond to payroll-related inquiries from team members and resolve any concerns regarding payments or deductions * Maintain accurate payroll records and documentation * Address tax setup questions and support payroll configuration within Paycom * Perform account balance and payroll reconciliations to ensure accuracy in payroll processing * Prepare payroll-related accounting entries, including general ledger processing and reconciliation * Review payroll reports to confirm data is balanced with timekeeping and department/base submission reports to ensure accuracy and identify any out-of- balance conditions needing correction * Conduct payroll audits to ensure compliance and that all records are accurate and up to date * Stay updated on federal, state, and local regulations affecting payroll to ensure compliance with legal requirements * Support year-end processes including W-2 distribution and tax filings * Collaborate with HR and Finance teams to resolve payroll discrepancies * Support payroll tax filings and year-end reporting HRIS Administration - * Learn how each function, and module, works in order to serve as a subject matter expert to the organization * Resolve HRIS errors and maintain accurate team member records * Assist in generating reports and dashboards for HR metrics and compliance * Support system implementations, updates, upgrades, testing, and troubleshooting. * Ensure HR data complies with employment laws and company policies Benefits & Compliance Administration * Assist in the administration of Modern's benefit and wellbeing programs * Serve as the point of contact for benefit and wellbeing inquiries * Process benefit enrollments, changes, and terminations through Paycom and benefit provider systems * Partner with the Manager, Total Rewards in coordinating open enrollment reporting and activities * Maintain accurate and up-to-date benefit records, generating reports, as needed * Audit benefit and wellbeing invoices and submit for processing * Ensure compliance with the Affordable Care Act (ACA), including accurate reporting via Forms 1094-C and 1095-C * Monitor and maintain ACA eligibility tracking, affordability standards, and minimum value requirements for health plans * Modern Aviation retains the right to change or assign other duties to this position Qualifications
Knowledge, Skills, and Abilities * Strong numerical aptitude and attention to detail to ensure accuracy in payroll calculations and data entry * Experience with data analysis and reporting tools * Ability to multitask, meet critical deadlines, and prioritize in a fast-paced environment * Knowledge of labor laws and payroll tax regulations * Strong attention to detail and organizational skills * Excellent communication and interpersonal skills to effectively interact with team members and leaders * Ability to handle sensitive information with confidentiality and professionalism Education and Experience * Bachelor's degree, with previous experience in a similar role, preferred or 3+ years of relevant experience required * Proficiency in Microsoft Office and HR payroll/HRIS systems, previous Paycom experience preferred * 1-2 years of experience in multi-state payroll processing Working Conditions/Physical Demands * Constantly operates a computer and periodically move around the office to access office machinery, e.g., copy machine * Possess the ability to communicate information and ideas so others understand Note: The statements above are intended to describe the general nature and level of work being performed by people assigned to the job.
