This position offers additional compensation in the form of discretionary short-term incentives (i.e. bonus, incentives, and/or commission). The Assistant Manager assists with daily operations of the Residential Loan Servicing Department. This includes customer service items for the Residential lending area, training and support for the Residential Loan Servicing staff and handles escalated issues from staff, branches and customers.


Responsibilities include, but are not limited to:


  • Provide oversight and guidance to the Residential Loan Servicing staff on daily responsibilities including:

    • Monitor and track insurance, titles and missing documentation.
    • Monitor timeliness, accuracy and professionalism in handling email and phone requests.
    • Ensures paid notes are processed in and accurate and timely manner.
    • Oversee loan transactions including payment reversals/corrections, waiving of late charges/fees/interest to ensure timely and accurate completion.
    • Ensure new loan files are assembled and filed in a timely and accurate manner.
    • Ensure all loan files are kept in a neat and orderly manner.
    • Imaging of loan documentation and ensuring its completion in a timely manner.


  • Oversees daily operations of escrow servicing, ensuring accurate and timely handling of all escrow accounts. Keeps manager informed of trends, issues and escalations requiring a higher level of expertise. Provides oversight and guidance to the Residential Loan Servicing staff on daily responsibilities, including:

    • Maintain and manage escrow accounts for loan clients, ensuring all funds are accurately collected and disturbed for property insurance, private mortgage insurance and real estate taxes as well as obtaining supporting invoices.
    • Coordinate with local tax authorities and insurance providers to confirm payment schedules, resolve discrepancies and update client accounts accordingly.
    • Assist clients with inquires related to their escrow accounts, payment and insurance requirements, ensuring a high level of customer service.
    • Timely communication with customers or bank staff to provide support for concerns/issues related to escrow.
    • Ensures escrow operations adhere to established company policies and applicable regulations.


  • Coach, mentor and provide guidance to direct reports on all aspects of residential loan servicing.
  • Responsible for career development, performance evaluations, problem solving and training, etc.
  • Responsible for hiring and coordinating training of the department staff.
  • Assist the manager with coaching staff to achieve high levels of customer service as well as achieving department and individuals established goals.
  • Holds one-on-one meetings, staff meetings, huddles on a regular basis to develop skills and expertise while improving overall engagement level. Implements activities to keep the team engaged, share information, solicit input and provide exceptional service to both internal and external customers.
  • Maintains full, in-depth knowledge and is highly skilled in all areas of residential loan servicing and tasks within the department. Utilizing knowledge for training, day to day operation and bank acquisitions.
  • Responsible for writing and implementation of policies and procedures for the department. Assists in identifying weaknesses, developing and recommending efficiencies as well as monitoring implementation and process improvements.
  • Make recommendations regarding the automation of servicing procedures using available technology, system application or 3rd party vendors.
  • Compile reports periodically for exceptions, real estate taxes, financials, etc.
  • Remains current and knowledgeable on local, state and federal regulations affecting functions of the department.
  • Complete required training specific to job responsibility.
  • Performs other related duties as assigned.


Qualifications

Education:


  • Associates Degree in finance, business or related field of study preferred or relevant work experience.



Experience:


  • 3+ years of bank loan operations experience preferred.


Skills:


  • Strong technical skills regarding loan operations.
  • Advanced working knowledge of Microsoft Programs including Excel, Word and PowerPoint.
  • Thorough knowledge of bank operations, general ledger system and loan operations.
  • Advanced understanding of loan data systems.
  • Must be able to process a significant amount of detailed information in an accurate, timely and confidential manner.
  • High Level of interpersonal skills with the ability to interact professionally with loan officers, customers and other entities inside and outside the bank.
  • Thorough knowledge of state and federal laws and regulations governing Residential Loan Servicing functions to ensure compliance upon completion of individual job duties as well as department staff.
