Description
Job Summary Provides administrative support to the Finance/Accounting and Operations department. Schedule: Monday - Friday 8:00am - 5:00pm Essential Duties and Responsibilities
- Answer multiple phone lines and route Operator calls to appropriate parties
- Mail - InBound and Outbound
- Stamp outgoing mail (by 11am daily)
- Assist with postage/certified mail packages
- Handle USPS postage balance and log receipts in Excel spreadsheet.
- Sort incoming mail:
- Date stamp invoices and distribute accordingly (i.e. AP, Managers, etc.)
- Inbound medical records - scan into S:\Med Recs
- Any returned mail/incorrect address
- Scan HR and Legal documents to the appropriate team members
- Assist with shipping packages as needed.
- Administrative tasks assigned by management as needed.
- Assist with scheduling and organizing "In office" meetings
- Assist with scheduling travel for Executives and Operations team
- Office Management duties
- Manage office supplies inventory
- Send communications from Property Management office to employees
Qualifications
Education and Experience
- High school diploma or general education degree (GED), minimum.
- Additional college education to Associates Degree preferred.
Skills and Competencies
- Strong verbal, written and interpersonal communication skills.
- Pleasant phone manner is required.
- Must have good customer service skills.
- Must be able to demonstrate the ability of maintaining privacy and confidentiality.
- Strong skills in critical thinking, problem solving, and decision making.
- Ability to manage multiple priorities, with attention to detail and accuracy.
- Ability to create and edit written materials.
- Ability to communicate effectively to a variety of audiences.

Computer Skills
- Must be competent in the Windows operating system environment, Adobe Professional, Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and learn other software as needed.
Physical Demands
- Requires sitting for long periods of time, working at a desk.
- Some bending and stretching could be required.
- Working under stress and use of computer/phone required.
- Manual dexterity required for use of computer keyboard.
- Occasionally may be required to stand, walk, stoop, kneel and/or crouch.
- May occasionally lift and/or move up to 25 pounds.
Work Environment
- Mainly indoor, office environment conditions.
- The noise level is usually moderate.
- Air quality is good and temperature is controlled.
- Work Environment must be free from background noise and distraction.
- At home set up must meet all Company IT, privacy and safety requirements.
This position has an hourly pay rate of $20.00. Final compensation offered will be determined by factors such as job-related knowledge, skills, experience, and qualifications.
