The Manager of Recording and Policy Services is responsible for the day-to-day oversite of Recording and Policy Services operations. The Manager of Recording and Policy Services assists the Vice President ensuring the direction, management, and performance of the Recording and Policy Services team in production and knowledge of procedures and systems. They must be a hands-on manager with a working knowledge of all aspects of daily operations, including being responsible for controlling costs to ensure maximum profitability and that budget goals are met. Ensures that the team is thoroughly trained in the Recording and Policy services processes and handles escalated and rejected orders.

Primary Duties and Responsibilities

  • Responsible for the day-to day management of Recording and Policy Services operations setting daily/weekly goals for the team to ensure that all files record and policies are issued in adherence to SLA and Best Practices. As well as issues are being resolved that could prevent timely recording or delay in issuing policy. Understanding of compliance and risk related issues as required by regulatory authorities is important to the role.

  • Continuously monitor daily volume (WIP) to ensure orders are distributed properly among team members to operate the team at maximum efficiency to meet budgetary goals. Makes staff level recommendations to the Vice President to address with Leadership and HR.

  • Reviews recording rejections and escalations. Provides necessary reports for clients and underwriters.

  • Provides guidance for title policy issuance, forms and exceptions.

  • Manages and approves team lead and Recording and Policy representatives work schedules timecards, and PTO requests and monitors volume to ensure that team is properly staffed to record and issue policy on a timely basis

  • Conduct team meetings to communicate new processes, improvements, and training as needed.

  • Review new and current employee training and performance and counsel/reward as appropriate

  • Perform other duties as assigned or apparent.

Qualifications

Basic Education and Prior Work-Related Experience:

  • Degree Requirement: HS Diploma or GED

  • Work Experience: 2 or more years of prior work-related experience

Additional Qualifications

  • College degree preferred.

  • At least 3 years industry or related business experience preferred.

  • Experience with recording and title policy required.

  • Experience within the real estate industry and/or vendor management service company preferred.

  • ALTA best practices experience preferred.

  • Must possess proven management experience (i.e. people management)

  • Proficiency in Microsoft Office (Outlook, Excel, and Word); Knowledge of client-based systems; Attention to detail; Motivated and positive team player; Leadership skills

  • Excellent verbal, written and interpersonal skills; Ability to problem solve in a growing, expanding business; Ability to multi-task in fast-paced environment

  • Ability to travel to our Pittsburgh, PA and/or Wayne, PA office
