Overview

Responsible for performing routine tasks related to processing bank mail, managing the supply room, providing courier support and assisting in minor maintenance repairs and improvements as required.



Responsibilities

The following is a list of essential functions, which may be subject to change at any time and without advance notice. Management may assign new duties, reassign existing duties, or eliminate a function.

    Serve as Primary for the process of daily USPS mail by packing, unpacking, and sorting.
  • Serve as Primary for the process of picking up and dropping off at Post Office
  • Serve as Primary for the process of Courier mail by packing, unpacking, and sorting daily mail bags.
  • Serve as Primary contact to prepare, sort, and distribute inter-office mail.
  • Serve as administrator for UPS Service-related issues
  • Maintain Certificate of Insurance (COI) log on a regular basis
  • Assist in managing the Administrative Building (including Bristol and Floral Vale) supply orders to make sure office necessities are always available and special orders are filled and placed in timely manner.
  • Assist with conference room reservations for meetings, coordinate lunch delivery as needed, and assist in organizing off-site meetings (as needed).
  • Assist in updating Branch Information and Procedure Workbook for the buildings within the bank.
  • Welcome examiners and other guests to Bristol by connecting them with the appropriate Bristol Team Members and ensuring that their space and technology needs are met.
  • Perform Facilities related administrative tasks, to include Help Desk completion, Excel tracking, minute-taking, document prep and revision, filing, special projects, and other duties as assigned.
  • Serve as back-up for the courier run as needed.
  • Serve as a resource for completing facilities related minor improvements or repairs including, but not limited to, patching and painting, non-electrical repairs e.g. doors, carpets, ....

  • Comply with all applicable regulations and Bank policies regarding employment and employment law.
  • Participate in annual compliance and other job-related training.
  • Comply with applicable bank regulations, Bank policies and procedures.
  • Comply with Bank's internal privacy and ethics standards.

Relationships and Contacts

Internal
: Reports to Director of Building Operations and Planning; Works closely with Team Members at various levels throughout the Bank.

External: Occasional contact with current and prospective customers as well as auditors, vendors, and other visitors.



Qualifications

Education and Experience

  • High School diploma or equivalent required
  • Experience with Microsoft Office applications - primarily Word and Excel - preferred
  • Experience with DNA - preferred

  • Excellent business writing skills.
  • Strong written and oral communication skills.
  • Strong attention to details and accuracy.
  • Ability to work with a diverse group of professionals.

  • Ability to drive, with a valid license, all types of cars, vans, and small trucks.

Working Conditions

Traditional office environment with Five days a week operation (Monday - Friday) with operational hours of 8AM to 5PM.
