Job Summary

The Program Assistant provides administrative and operational support to the Department of Electrical and Computer Engineering. The position ensures the smooth day-to-day functioning of the department office, assists faculty and staff with departmental processes, and coordinates office activities, events, and communications. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a busy academic setting.

  • Provides administrative support for the department, including greeting visitors, answering and routing telephone/email inquiries, and handling routine requests with a high level of confidentiality.
  • Serves as the University credit card user for departmental transactions. Adheres to university credit card policies and procedures. Maintains record of requisitions and credit card transactions. Provides details on transactions as needed for account reconciliation and reporting purposes. Compiles, submits, and follow-up expense reports for faculty and students.
  • Receives, reviews, and prioritizes correspondence and requests, identifying items requiring the Chair's immediate attention.
  • Prepares and process departmental documents, including requisitions, TARs, travel reimbursements, expense reports, reports, correspondence, forms, presentations, and outgoing mail.
  • Tracks and reconciles departmental accounts, including internal projects, and assist with basic budget preparation.
  • Research, compile, and prepare data for departmental reports, planning purposes, and special projects.
  • Coordinates departmental events such as meetings, seminars, workshops, and outreach activities.
  • Support student-related processes, including admissions, registration, grades, schedules, and class availability.
  • Maintains departmental records, files, course outlines, and faculty bios.
  • Manage office operations, including ordering supplies, ensuring equipment functionality, and scheduling appointments/meetings for department leadership and faculty.
  • Supervises and coordinates the work of student assistants (OPS, Federal Work Study) as needed.
  • Handle confidential information with discretion and in compliance with applicable policies.
Minimum Qualifications

High school diploma or GED and five (5) years of office or related experience providing administrative support, or coordinating functions of an office or department.
