Job Title: Financial Programs Coordinator - Kids First
Department: Kids First
Classification: Non-Exempt

Hiring Range: $30.24/hour - $34.02/hour
[Salary Range: $30.24/hour - $45.36/hour]

Position Summary: Responsible for all aspects of Kids First financial aid and childcare grants. Duties include policy evaluation and development, serving as the primary contact for program directors and applicants, reviewing qualifications and documents, presenting applications to Kids First stakeholders, managing individual files and application software, overseeing grant payments and fund tracking, and ensuring financial compliance through reporting.

Supervision Exercised and Received: This position works under the direct supervision of the Kids First Co-Manager.

Essential Job Functions:

Financial Aid Coordination:

* Verifies applicant income and qualifications and communicates with applicants accordingly.

* Analyzes tax forms and other financial statements using Submittable software and printed financial documents.

* Schedules quarterly Financial Aid Committee meetings and presents information to the committee. Subsequently summarizes and reports to families and childcare programs regarding financial aid awards.

* Recruits new Financial Aid Committee members as needed and provides orientation and on-going communication about the financial aid program.

* Completes routine reports on the financial aid program as required. Analyzes financial aid data and makes recommendations for possible changes for the program.

* Verifies quarterly financial reporting from childcare programs to ensure accurate reporting and calculations.

* Requests checks for the childcare programs based on family qualifications, reconciles quarterly reports from childcare providers, and tracks spending for this program.

* Serves as the Kids First representative to Pitkin County Human Services; organizes and participates in the Aspen School District Colorado Preschool Program interviews and meetings and attends Human Service POD and other meetings.

* Collaborates with other human service agencies to ensure the coordination of services.

* Counsels families on the available options for financial assistance and helps find the best fit for each circumstance.

Grants Coordination:

* Implements and coordinates Kids First grant programs.

* Responsible for all reporting and data collection from Kids First childcare grants through direct communication with grant recipients including childcare programs and staff.

* Coordinates communication and implementation of grants in compliance with internal policies and application requirements.

* Collects and reviews all program applications.

* Receives and reviews all reporting documents for information accuracy.

* Requests and tracks all payments.

* Generates reports related to the grant programs.

Customer Service:

* Serves as the first point of contact for financial aid families and childcare grant recipients providing warm, professional, and responsive support.

* Maintains accurate records of family and grant recipients' communications.

* Corresponds clearly and empathetically with families from diverse backgrounds.

* Collaborates with team members to provide seamless and consistent support.

* Upholds confidentiality and handles sensitive information with discretion.

* Occasionally provides consumer information to families in the community about: licensed childcare, parental education, and early childhood issues in general.

Special Projects:

* Participates in community outreach and the marketing of Kids First programs to the public.

* Contributes to special events and training, and attends other meetings as required.

* Assists the Co-Managers in the development of new programming to serve unique groups in childcare.

Community Engagement

* Works in partnership with the various departments/projects to support in implementation of community engagement plans, tactics, strategies, and techniques for inclusive stakeholder outreach initiatives.

* Promotes interactive, inclusive, and impactful community relations.

* Develops networks and relationships with other agencies to support transparent and collaborative engagement efforts.

* Supports identifying measurable goals and outcomes that are in line with community outcomes; implements with appropriate sense of urgency.

* Public Outreach posts on Facebook (social media) solicit staff input, making regular posts.

* Supports Administrative Specialist in maintaining Kids First website and works with Communication department to ensure content and information are compliant with all website requirements and laws.

* Assists with coordination, planning, scheduling, advertising of special events and programs.

Minimum Requirements:

Education: High School Diploma or GED equivalent.

Experience: Two years of administrative, office management, or clerical experience.

Technical Knowledge: Proficiency in Microsoft Excel, Word, Outlook and Email.

Desirable Qualifications

* Associates or Bachelor of Science or Arts degree in business administration, human resources, information technology or related field.

* Proficiency in Power Point, Adobe Acrobat Pro and Web Content Management Systems.

NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.

NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge and skills as determined by the City of Aspen may be substituted for the requirements above.

Position Type and Work Hours: Regular full-time, 40-hour work week, Monday through Friday. Hours may vary with workload, however standard operating hours are 8:00am to 5:00pm. Infrequent weekend events are based on departmental needs.
