About the Job

Bargaining unit consideration begins on 9/3/2025 and ends on 9/10/2025. This position is eligible for hybrid work, Monday - Friday, with a minimum expectation of 4 days onsite per week. This is a labor represented position.

The Department of History at the University of Minnesota invites applications for our Office and Administrative Coordinator position. We are looking for an organized and personable person with excellent customer service to join our team! This person is a key contributor to the success of the department, assisting students, faculty, staff, and the general public with frontline support, providing support for building management, projects, and events, maintaining our website and communications, and coordinating services to carry out the mission of our department in the larger collegiate and university setting.

Key Responsibilities:

Front Office & Reception (30%):

  • Answer phones
  • Greet visitors
  • Manage main office inbox
  • Maintain supplies/equipment
  • Handle mail
  • Coordinate office hours
  • Oversee textbook orders
  • Supervise student workers

Resource & Space Management (25%):

  • Manage department calendars and space reservations
  • Oversee keys/access
  • Liaise with Facilities Management
  • Maintain office and common spaces

Website & Communications (25%):

  • Update department website
  • Post news/events
  • Manage social media and email lists
  • Assist with digital learning tools

Event Support (15%):

  • Coordinate logistics for department graduate, and undergraduate events; arrange catering, manage registration, host virtual events

Other (5%):

  • Serve as financial backup, maintain process documentation, and support departmental projects.
Qualifications

Required Qualifications:

  • High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience.
  • Internet and basic computer experience, as well as database, spreadsheet, and word processing experience.
  • Previous customer service experience.

Preferred Qualifications:

  • Previous calendar/scheduling experience
  • Intermediate Microsoft Office experience
  • Good organizational, problem solving and analytical skills
  • Exceptional written and verbal communication skills
  • Attention to detail and time management skills as well as ability to work independently
  • Demonstrated ability to multi-task and prioritize
  • Strong grammar and proofreading experience
  • Proven ability to relate positively and professionally with diverse situations and constituencies

For well over a century, Minnesota's Department of History has cultivated its special role within the liberal arts and pursued its mission with great distinction. Pay Range: $22.55 - $25.31 hourly; $46,904 - $52,644 annually, depending on education/qualifications/experience
