Description
Step into a pivotal role with the Town of Erie as a Project Coordinator, where you'll blend office expertise and fieldwork to keep construction projects moving forward. The Town of Erie is seeking a detail-oriented and proactive Project Management Coordinator to join our Facilities Division within the Public Works Department. In this role, you'll be at the heart of our capital building construction projects, ensuring they're delivered with excellence from start to finish. This position offers a dynamic mix of office and fieldwork-one day you may be reviewing plans and coordinating with consultants, the next you're out in the field conducting inspections and solving construction challenges. ANTICIPATED WORK SCHEDULE:
- Full-time (Monday-Friday shifts) 40 hours per week with some nights and weekends as needed.
- This position is eligible to work remotely one-two days per week dependent upon successful completion of the probationary period and supervisor approval. Schedule may vary depending on specific needs.
- Must be able to work on-call schedule as assigned and understands the On-Call policy for the department.

To review the full job description, environmental and physical factors please review job here. DUTIES AND RESPONSIBILITIES:
- Document Management: Responsible for receiving, managing, organizing, and distributing all project-related documentation. In charge of project folder setup, folder management and formulating project registries.
- Thorough review of project design specifications and Architect/Engineer supplemental instructions (ASI) to ensure compliance with Town Standards & Specifications and the Unified Development Code.
- Review, interpret, and respond to contractor shop drawings, requests for information (RFI), and product data submittals.
- Prepare recommendations for design revisions and improvements. Respond to design team and contractor proposed design revisions.
- Schedule, coordinate and conduct pre-construction phase, construction phase, and warranty phase meetings involving Town staff, contractors, public utilities representatives, consultants, and authorities having jurisdiction (AHJ's).
- Coordinate and resolve field construction issues involving change orders, RFI's, ASI's, and other modifications to the plans and specifications.
- Create and manage construction project schedules.
- Monitor and assess actual construction progress against contractor's stated progress on the schedule of values to ensure alignment. Provide regular progress updates to Project Managers and Facilities Division Manager.
- Perform project field inspections and create/distribute owner punch lists.
- Prepare inspection and warranty reports as necessary, maintaining comprehensive records of inspection and warranty claims.
- Receive, review, and ensure completeness of project closeout documentation required for initial and final project acceptance.
- Respond promptly and courteously to inquiries from contractors and the public regarding construction, alteration, and maintenance projects.
- Proficiently analyze and interpret the Unified Development Code and Town of Erie Standards and Specifications.
- Work closely with project managers, consultants, engineers, and other stakeholders to facilitate seamless information flow. Prepare ad-hoc templates and reports on projects as required.
- Collaborate with other Town departments and divisions to enhance operational efficiency, develop standard operating procedures, and implement initiatives.

- Serve as an ambassador of the Town by maintaining a professional image, a team-based collaborative approach and high ethical standards.
- Interpret, communicate and enforce all Department, Town, County, State and Federal policies and procedures within areas of program responsibility.
- Complete all required safety and compliance training in a timely manner.
- Develop and accomplish goals and objectives to support the Department and Town mission.
Qualifications
Applicants must be authorized to work in the U.S. without sponsorship.
MINIMUM QUALIFICATIONS
- Associates degree from an accredited institution with major course work in a field of study related to the work assignment (e.g. construction management, architecture, engineering, business management)
- Two or more years' experience in project management, commercial construction, construction management, commercial construction inspection, contract management, or a closely related field.
A combination of education and experience may be considered. DESIRED QUALIFCIATIONS:
- Bachelor's degree in Construction Management, Architecture, Engineering, Business Management or other closely related fields
- Experience working as a Field Engineer, Office Engineer, Project Engineer, assistant superintendent, or related role in the construction industry
- Knowledge of commercial construction estimating and cost control principles
- Technical proficiency with project management software
- Commercial Trade experience at the Journey person level
- Previous Municipal service related to the work assigned to the position
- I-Code training
- Course work in accounting, finance, or public administration
CERTIFICATES/LICENSES/REGISTRATIONS
- Ability to obtain CPR, AED, and First Aid within three months of hire
JOB EXPECTATIONS
- Must be able to operate a motor vehicle safely to various Town facilities and at times other locations to perform the duties of the position. A motor vehicle record will be pulled through the post-offer background check, and annually thereafter.
- Must be able to work some nights and weekends as needed and work on-call as scheduled or assigned
- Must be able to work on-site a minimum of three days a week upon successful completion of the probationary period and supervisor approval. Schedule may vary depending on specific needs.
