Summary of Job Duties:The Administrative Support Specialist works under the supervision of the Director of Admissions and is responsible for contributing to the admission and enrollment of prospective students and providing clerical support to supervisory and professional staff.

JOB DUTIES AND RESPONSIBILITIES INCLUDE:

Assists in meeting the objectives and goals of the Enrollment Management Plan.

Answers phones and greets students/visitors promptly in a courteous and professional manner.

Provides information, assistance, and clarification to prospective and current students concerning admissions requirements, processes, forms, etc. Directs prospective student questions to appropriate staff.

Stays current on information in reference to dates, events, degrees, and personnel changes by staying familiar with personnel and UACCM's Website.

Ensures security, confidentiality, and safety of student records, in compliance with the Family Educational Rights and Privacy Act (FERPA).

Monitors the ADM email account and routes electronic communication to the proper contact person at the College.

Awards Academic Scholarships as directed. Sends email notifications of scheduled campus tours to all UACCM employees.

Coordinates faculty participation in individual campus tours.

Develops and maintains the Admissions Procedures Manual for the duties related to this position.

Downloads electronic transcripts from SPEEDE using POISE (daily).

Processes incoming Admissions mail (daily).

Scans, uploads, and indexes admission documents into electronic filing system with a high level of accuracy and timeliness.

Maintains the student vehicle registration database.

Helps with providing training and/or guidance for student workers related to answering phones, routing questions appropriately, and issuing parking permits and photo IDs.

Serves as backup for campus postal services.

Provides updates to the Director of Admissions of issues, opportunities, operations, and needs within the Office of Admissions.

Performs other duties as assigned. Qualifications:

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent

Other job-related education and/or experience may be substituted for all or part of the minimum qualifications upon approval of the Chancellor.

PREFERRED QUALIFICATIONS:

  • Associate's degree in business or related area

  • 1 year of office or clerical experience

Salary Information:

$27,000 - $30,000; commensurate with education and experience
