SUPERVISING PARALEGAL

The Department of Law

Real Estate Division

Number of Positions: 1

(Additional vacancies are possible pending budget approval)

Annual Starting Salary: $76,476

Applications for this position will be accepted beginning 9-9-25 until 11:59pm CDT on 9-23-25.

Under general supervision, coordinates and supervises the work of paralegals providing paraprofessional legal, administrative, and clerical support to attorneys, and performs related duties as required.

ESSENTIAL DUTIES

  • Assists attorneys with all aspects of real estate transactions, including acquisitions and sales.
  • Supervises and participates in conducting title searches, reviewing titles and surveys, resolving title issues, preparing closing documents and preparing mortgage and lien releases as required.
  • Conducts thorough title and survey reviews and works with title companies, surveyors, and attorneys to resolve discrepancies and eliminate title and survey issues.
  • Reviews organizational documents, bylaws, resolutions, officer certificates and other due diligence materials and closing deliverables.
  • Prepare detailed closing checklists and timelines.
  • Coordinates and manages the closing process; drafts deeds based on City Council ordinances authorizing transactions, prepares settlement statements and MyDec filings, orders Full Payment Certificates, assembles closing documents and ensures all necessary documents are executed and recorded.
  • Maintains organized and up-to-date real estate files.
  • Prepares releases of mortgages, redevelopment agreements, deed covenants and special assessment liens.
  • Prepares Certificates of Error and works with the Illinois Department of Revenue and Cook County Offices of the Treasurer, Clerk and Assessor to clear delinquent tax liens on City-owned property.
  • Assists attorneys with tax injunction suits and petitions to vacate tax sales and prepares petitions for tax divisions with Cook County.
  • Conducts historical research in Journals of Proceedings of the City Council regarding past approvals to purchase, condemn, and sell City land and to vacate and dedicate public right-of-way.
  • Performs other paralegal and administrative duties as needed to support the real estate practice.
  • Serves as a liaison with other City departments to facilitate information exchange.

THIS POSITION IS IN THE CAREER SERVICE

Qualifications

Seven (7) years of work experience as a paralegal or legal assistant.

OR

Paralegal Certificate obtained from a training institution accredited by the American Bar

Association (ABA), plus three (3) years of work experience as a paralegal or legal assistant.

OR

Graduation from an accredited college with an Associate's degree, plus four (4) years of work

experience as a paralegal or legal assistant.

OR

Graduation from an accredited college or university with a Bachelor's degree, plus a paralegal

certificate from a training institute accredited by the American Bar Association (ABA), plus two

(2) years of work experience as a paralegal or legal assistant.

OR

Graduation from an accredited college or university with a Master's degree, plus three (3) years of work experience as a paralegal or legal assistant.

OR

Graduation from an accredited American Bar Association (ABA) law school with a Juris Doctorate, plus two (2) years of work experience as a paralegal or legal assistant.

Writing Sample Criteria

* Applicants must submit a writing sample prior to their scheduled interviews. All writing samples submitted in consideration for employment must comply with the following criteria:

1. The sample may either be a professional project report, academic project report, an official communication related to a professional or academic project, or a work-related report or communication.

2. The writing sample submitted must be no more than five (5) pages.

3. The writing sample must be accompanied by a cover page explaining the following:

a. The sample's original purpose (e.g., a writing class, a professional project, a memorandum for an employer).

b. When (MM/DD/YYYY) and for whom the sample was written.

c. The extent of editing by any third party (if any).

d. If the writing sample is an excerpt from a larger document, identify that larger document and provide context, if necessary.

* If an applicant chooses to submit a writing sample containing confidential or privileged information, the applicant must identify the steps taken (redactions, name changes, or consent from the client or employer) to preserve the confidential or privileged nature of the document.

SELECTION REQUIREMENTS

This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position.

Desired Skills:

O Previous experience supervising other employees, paralegals, or outside vendors/contractors

O Previous experience as a transactional paralegal

O Considerable knowledge of methods of title and survey review, and closing real estate transactions

O Proficiency with Microsoft Office Suite and Adobe Acrobat.
