Job Description:

The Scheduling Manager is a critical leadership role responsible for driving operational excellence through proactive performance improvement, effective team management, and data-driven decision-making. This position requires a strategic thinker who can anticipate issues before they escalate, identify root causes using operational metrics, and implement solutions that enhance staffing coverage, scheduling efficiency, and overall service quality. The Dispatch Manager will oversee day-to-day dispatch operations, ensuring clear communication across teams, compliance with SOPs, and the optimal deployment of resources. Success in this role requires strong analytical skills-pulling and interpreting data from systems such as Salesforce, reconciling conflicting reports, and transforming complex information into actionable insights for leadership and field teams. This is a hands-on position where the ability to lead, by example, hold team members accountable, foster collaboration, and adapt quickly to changing demands will directly impact the success of both the dispatch team and the organization as a whole.

Key Responsibilities

Performance Improvement & Data Analysis

• Review operational metrics daily to identify trends, issues, and opportunities for improvement.
• Proactively investigate potential problems before they escalate, using available data, dashboards, and direct communication with site leadership.
• Analyze complex and sometimes conflicting data sets, using tools such as Excel (formulas, pivot tables), Power BI, or SQL to uncover root causes.
• Develop actionable reports that simplify data for field teams and leadership, ensuring insights are clear and usable.
• Recommend and implement process changes when inefficiencies are identified.
• Partner with stakeholders to ensure staffing coverage targets and service-level goals are consistently exceeded.

Operations

• Maintain optimal staffing levels to support service delivery and operational readiness.
• Oversee daily dispatch functions, ensuring accurate and timely communication with Account Managers regarding unassigned posts, coverage issues, and sourcing status.
• Ensure compliance with company policies, procedures, and standard operating guidelines.

Communication & Support

• Act as a central communication hub, ensuring timely, clear, and consistent messaging across dispatch, recruiting, and operations teams.
• Build strong working relationships with senior leaders, Account Managers, and site supervisors to address and resolve challenges quickly.
• Promote a collaborative, solutions-focused environment that thrives under pressure.

Team Leadership

• Lead, train, and develop dispatch team leads and staff to achieve operational and performance goals.
• Conduct performance evaluations, provide targeted coaching, and hold team members accountable for results.
• Address concerns constructively, resolve conflicts, and maintain a high-performing, engaged team.

Administrative Management

• Oversee payroll, scheduling, and employee recordkeeping for dispatch operations.
• Approve PTO, schedule changes, and work-from-home requests in line with operational needs.
• Maintain accurate records, reports, and documentation.
