Overview
The Administrative & Talent Acquisition Specialist provides a blend of professional administrative support and recruitment expertise. This position assists with day-to-day office operations including clerical, documentation, and office management responsibilities while also supporting full-cycle recruitment for assigned requisitions. The role requires strong organizational, communication, and multitasking skills, and involves collaboration with HR and operational leadership to ensure efficiency in both administrative and talent acquisition functions.
Primary Responsibilities
Administrative Support
- Perform general administrative functions including documents, onboarding, and travel arrangements.
- Assist with timesheet and employee tracking.
- Track and manage DLA-related processes such as DLA fingerprinting, NBIS, and NPICam, ensuring completion in coordination with site and HR teams.
- Track, coordinate, and maintain documentation, ensuring quality control and compliance with customer specifications.
- Maintain a master personnel file with all employee documentation.
- Provide reference, document delivery, and information services; oversee document production flow and ensure final distribution.
- Prepare reports and assist with other office-related tasks as assigned.
Talent Acquisition & Recruitment
- Source passive candidates through networking, cold calling, and advanced internet research.
- Source active candidates from job boards, databases, referrals, and the company's career site.
- Manage candidate engagement from initial contact through offer acceptance, ensuring positive candidate experience.
- Market job openings and develop diverse candidate pipelines.
- Screen applicants, evaluate qualifications, and present candidates for hiring manager review.
- Support applicant tracking, reference checks, and coordination of interviews and testing.
Supervisory Responsibilities
Education and Experience
- High School Diploma and at least 3 years of administrative experience, or equivalent.
- Minimum 1 year as an Administrative Assistant or equivalent.
- DLA or defense/technical industry experience preferred.
Knowledge, Skills, and Abilities
- Strong verbal and written communication skills; ability to engage effectively with candidates, staff, and leadership.
- Proficient in Microsoft Office Suite (Word, Excel, Access, Outlook).
- Knowledge of social media recruiting methods and platforms (LinkedIn, etc.).
- Strong attention to detail, organizational skills, and ability to manage multiple projects in a fast-paced environment.
- Ability to maintain professionalism and confidentiality while responding effectively to sensitive inquiries.
- Self-motivated, team-oriented, and able to work independently with minimal supervision.
Certificates, Licenses, and Registrations:
- Valid U.S. Passport required.
Security Clearance:
- U.S. Citizenship required.
Physical Demands:
Must be able to sit, stand, walk, stoop, kneel, climb stairs, and use hands/fingers to operate office equipment.
Occasionally lift and move up to 25 pounds.
Work Environment:
General office environment.
Some domestic travel may be required.
