Job Summary

GateWay Community College is now hiring a great new role! The Student Services Supervisor will work closely with the Director of Student Services to provide oversight of daily operations for the Admissions Records Office. This role will primarily support Clock programs at our Central City location (1245 East Buckeye Road Phoenix, AZ 85034). This exciting role plans, organizes, assigns, supervises, reviews and evaluates the work of staff. In this role, the individual hired will monitor operational compliance with policies and regulations. This individual will work with college and project teams in a lead role and will be responsible for the following: meeting outcomes and timelines through planning, communication and collaboration with teams and stakeholders, problem resolution, attendance, front counter and welcome desk services and back office support.

Essential Functions

40% - Work collaboratively with the Director of Student Services to provide leadership and direction for the Admissions and Records office at the Central City campus. Provide training and support when needed at the Washington Campus. Manage all third-party enrollment processes and communicate with our thirty-party partners. Oversee the attendance verification process for all clock students. Add program stacks and prepare audit for the FTSE Reporting. assisting credit, clock, non-credit, and new and continuing students in person, over the phone, and via email in all enrollment services functions and processes, including but not limited to admissions, registration, program information, community education, and financial aid; review and determine residency; process lawful presence and ID authentication documentation, U18 and Special Admissions applications; and provide support to the call center and front counter/welcome desk functions. Identifies program needs and issues; directs and oversees the resolution of escalated issues and customer concerns. Reviews program requirements criteria to evaluate and determine enrollment, attendance, and graduation eligibility; and/or evaluates policies and procedures to determine and ensure program compliance with college, district, federal, and state laws; run and review various exception reports in SIS (PeopleSoft), SSRS, or other databases on a daily, weekly, and monthly basis until resolved; monitor students enrollment and attendance daily; implement quality assurance to include regular review (e.g., spot-checks) to ensure accuracy and integrity of completed transactions and records maintenance.

30% - Work collaboratively with the Director of Student Services to plans, organizes, assigns, supervises, reviews, and evaluates the work of staff; address concerns, resolves problems; composes, edits, and prepares correspondence and reports; conducts performance appraisals and implements developmental plans for staff; prepares and conducts staff training. Develop and implement comprehensive records management procedures. Collaborate with program directors in the clock area to determine A & R support processes.

20% - Develop and maintain relationships and coordination with GWCC academic departments, program managers, instructors, Student Affairs departments, and other internal and external
partners to develop a thorough understanding of the programs, services, and business processes. Attends departmental meetings, training sessions and professional development opportunities; performs other duties as assigned at various GWCC locations.

10% - Monitor reports related to enrollment in order to comply with district and government requirements, including the preparation of reports and resolving reporting discrepancies. Other
duties as assigned.

Minimum Qualifications

Bachelor's Degree from a regionally accredited institution in education, sociology, business administration or directly related field and four (4) years of student services or related experience.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Masters Degree
B. Experience working in a One-Stop Enrollment Services and/or Admissions & Records Office.
C. Experience working with Peoplesoft, Student Information System, Dynamic Forms, Google forms/Google Suite, phone systems, etc.
D. Experience working in a fast-paced, high volume, multi-tasking and team-oriented environment
E. Experience providing customer service including in person, over the phone, text and via email
F. Experience working with state or federal regulations as it relates to student services in a higher education setting
G. Experience working with students from diverse backgrounds and cultures

Special Working Conditions
  • Will be required to travel or be assigned to all GateWay locations
  • May require some evenings or weekends
  • May require prolonged periods of viewing a computer screen
  • May be required to lift or carry up to #25 lbs
