OVERVIEW: The Payroll and Benefits Analyst is responsible for administering all aspects of payroll and employee benefits for hourly and salaried employees in a manufacturing environment across the U.S. and Canada. This position ensures timely and accurate payroll processing, benefits administration, and compliance with labor regulations. The role supports both office and production staff and requires a strong attention to detail and the ability to manage sensitive information with confidentiality. This role will drive data and process analysis and continuous improvement initiatives for the payroll function.
This position provides payroll related support to management as necessary.
RESPONSIBILITIES:
Payroll Administration
- First point of contact for employees for payroll related questions
- Respond to employee and manager inquiries via telephone, voice mail, email and inter-office communication
- Runs monthly payroll and benefit training sessions
- Drive weekly/bi-weekly payroll process for U.S. and Canada-based teams, including hourly production employees and salaried staff
- Collect and verify timesheets from departments and supervisors across shifts.
- Track and reconcile shift differentials, overtime, bonuses, and union dues (if applicable).
- Maintain accurate payroll records and ensure timely submission of payroll taxes.
- Reconciles payroll deposits, tax withholdings, wage garnishments, and voluntary deductions
- Organizing and summarizing timesheets while reviewing for accuracy of edits.
- Audit hourly Time and Attendance Edit/Occurrence Point Assignment and "Time Off Requests" to ensure accuracy of all departments
- Process Off-cycle manual checks, termination/severance payments and miscellaneous approved by management
- Provide assistance to Finance & Accounting and to Human Resources on payroll related items
- Coordinate with finance/accounting to ensure accurate GL coding and payroll funding.
- Reconcile and audit payroll tax discrepancies
- Analyze payroll and employee expenses, assures general ledger accounts are reconciled; creates on-going month-end, quarterly, and year-end organization reports; and performs other related duties as assigned.
- Ensure that company policies and procedures are applied to relating to payroll processing, employee data changes, hires and terminations
- Stays up-to-date on payroll best practices, various local labor and payroll legislations, and ensures compliance
- Produces various reports from Human Capital Management System. Including compilation of various Excel spreadsheets and PTO reports
- Responds to various requests related to VOE, Unemployment, Benefit claims and Legal requests
- Participates in problem solving and special projects within the Payroll Department.
Benefit Administration
- Reconcile and process monthly benefits monthly invoices and resolve discrepancies
- Monitor life events, dependents events
- Assist with annual open enrollment, benefits meetings, and wellness initiatives
Compliance and Record Keeping
- Ensure compliance with federal, state, and local employment and labor laws (e.g., FLSA, FMLA, OSHA, COBRA, ACA).
- Assist with audits (internal, external, workers' comp, etc.) and prepare related reports.
Other
- Participates in other duties assigned
- Position may require travel up to 10%
QUALIFICATIONS:
- High School Diploma or GED required
- Bachelor's degree in Accounting, Finance, Human Resources or related field preferred
- 5+ years of experience with primary responsibility for time and attendance and payroll administration and processing for multi-state teams required.
- Experience with Canadian payroll is preferred
- Experience with various payroll systems required
- Experience with payroll administration and processing for Canadian teams a plus.
- Experience with Ceridian and Dayforce a plus
- Experience with deploying new Payroll systems a plus.
- Experience onboarding new acquisitions and teams onto existing payroll a plus
- Knowledge and understanding of payroll practices and principles
- Ability to meet scheduled deadlines in a fast-paced environment
- Strong attention to detail and ability to multitask is required
- Ability to work with sensitive and confidential information is required
- Self-starter and Team Player strong organizational, interpersonal and customer service skills
- Strong written and oral communication skills
- Ceridian Dayforce, Time & Attendance System Software, Word, Excel, AX and Visual experience a plus
