Role Summary: GoldenWolf is seeking a highly organized and detail-oriented Project Support Specialist to provide critical support to our facilities project teams. The successful candidate will be responsible for tracking deliverables, ensuring quality control of documents, maintaining accurate records, and ensuring timely completion of multiple facilities projects. This role involves collaborating with project team members, stakeholders, and clients to achieve project objectives.

Key Responsibilities:

  • Track and monitor project deliverables, milestones, and deadlines for multiple projects.
  • Coordinate with project team members to ensure timely completion of tasks and deliverables.
  • Identify and escalate potential project risks and issues to project managers.
  • Review and quality-control project documents, including reports, proposals, and contracts.
  • Ensure accuracy, completeness, and consistency of documents.
  • Organize, file and maintain contractual documents, primarily digital, including contracts, reports, and other relevant materials.
  • Develop and maintain project schedules, calendars, and timelines.
  • Maintain and update project records, databases, and spreadsheets to ensure data accuracy and integrity.
  • Coordinate meetings, conference calls, and other project-related events.

Additional Responsibilities:

  • Assist in developing and distributing project-related communications, such as status updates, reports, and notifications.
  • Assist in tracking project expenses, preparing budgets, and performing cost-benefit analyses.
  • Process and track project-related expenses, ensuring compliance with company policies and procedures.
  • Participate in quality assurance activities to ensure project deliverables meet quality standards.
  • Provide administrative support to project team members, as needed.

Assist with special projects and initiatives as assigned by the project manager or department lead.

Requirements

Basic Qualifications:

  • 2+ years of experience in project coordination for Facilities Engineering or Construction Projects.
  • Excellent organizational, communication, and time management skills.
  • Advanced proficiency in Microsoft Office 365 applications to support project planning, tracking, and cross-functional team collaboration, including Excel, Word, PowerPoint, and SharePoint
  • Ability to work in a fast-paced environment with multiple priorities and deadlines.
  • Strong attention to detail and analytical skills.
  • Experience with Facilities Management Contracting, Engineering Services, and Federal Contracting
  • Certification in project management, such as CAPM a plus
