Job Summary:

The Electronic File Specialist is responsible for organizing, maintaining, and managing the firm's electronic files to ensure accuracy, accessibility, and compliance with firm policies and legal requirements. Provides efficient document management services, including scanning, naming, indexing, and storing records in the firm's document management system.


Job Functions:

  • Create, maintain, and organize electronic client/matter files in accordance with firm guidelines.
  • Scan, upload, and index incoming documents into firm's document management system, iManage.
  • Ensure consistent file naming conventions and adherence to retention policies.
  • Perform regular quality control checks to confirm accuracy and completeness of digital files.
  • Find and retrieve information from client files in response to requests from attorneys and staff members.
  • Assist with file transfers, archiving, and closing out matters.
  • Provide back-up support to the Firm Records Team and Wealth Management Document Processing Team to coordinate the scanning, e-filing and vaulting of original estate planning documents.
  • Maintain confidentiality of all client and firm information.
  • Perform other administrative duties, such as copying, faxing, emailing, on an as-needed basis.


Qualifications:

  • 3 or more years of E Filing and Records Management experience, preferably in the Wealth Management or Legal industries.
  • Familiarity with legal document management systems (particularly iManage).
  • Strong attention to detail and organizational skills.
  • Able to multitask and prioritize in a fast-paced environment.
  • Ability to handle large volumes of documents with accuracy and efficiency.
  • Strong communication and customer service skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel, Adobe Acrobat).
