Summary Description/Purpose of this Position

The Warehouse & Equipment Coordinator supports the Department of Public Works (DPW) by maintaining accurate inventory, organizing warehouse operations, and coordinating preventive maintenance schedules for vehicles and heavy equipment. This position ensures that supplies, tools, and equipment are available, tracked, and service-ready to support public works operations and emergency response. The role focuses on coordination, scheduling, and record-keeping rather than direct mechanical or vendor management.

Responsibilities/Duties of this Position Warehouse Operations
    Receive, store, and issue supplies, parts, and materials needed for DPW projects.
  • Maintain proper labeling, organization, and storage of items to ensure accessibility.
  • Keep warehouse facilities safe, clean, and in compliance with city standards.
Inventory Control
  • Track inventory levels of supplies, materials, and small equipment.
  • Conduct cycle counts and update records to ensure accuracy.
  • Generate reports on stock levels and usage for review by the DPW Director.
Equipment & Preventive Maintenance Support
  • Maintain logs and records of DPW vehicles and heavy equipment (e.g., excavators, trailers, dump trucks, backhoes).
  • Track hours of use, service intervals, and inspection schedules.
  • Coordinate with vendors or service providers for scheduled maintenance and repairs, as directed by leadership.
  • Ensure records are updated for warranty, compliance, and emergency readiness.
Procurement Support
  • Submit purchase requests for materials and supplies in coordination with the DPW Director.
  • Track deliveries and verify that orders are complete.
  • Assist with vendor communication as directed.
Emergency & Disaster Readiness
  • Maintain stock of critical supplies to support emergency response.
  • Ensure equipment readiness by monitoring service records and fuel/supply availability.
  • Assist DPW staff with organizing warehouse response operations during emergencies.
Other Duties
  • Perform other duties as assigned.


Qualifications

  • Associate's degree in logistics, supply chain management, or related field preferred; equivalent work experience accepted.
  • 2-4 years of experience in warehouse, inventory, or equipment coordination (municipal or public works experience a plus).
  • Valid Louisiana driver's license required.
Key Skills/Competencies for this Position
  • Familiarity with inventory tracking or asset management systems.
  • Strong organizational and record-keeping skills.
  • Effective communication and teamwork abilities.
  • Knowledge of OSHA standards, warehouse safety practices, and preventive maintenance procedures for heavy equipment.

Physical Demands

  • Position requires both office and warehouse/yard work environments.
  • Must be able to lift up to 50 lbs and perform tasks in outdoor conditions.
  • Availability to support emergency operations during disasters, including extended or irregular hours.
