Position Summary:
We have an exciting opportunity to join our team as a Administrative Manager - Langone Orthopedic Center, Rheumatology.

The Administrative Manager will assist with the administration and management of all aspects of the division in accordance with departmental and institutional objectives. In partnership with the leadership team, the candidates primary responsibility will be to improve and ensure divisional effectiveness by providing analytical and operational support for the divisions administrative functions.
This position will play a primary role in the management of a large and complex clinical research portfolio including NIH-funded observational research and original scientific studies with human subjects, as well as industry sponsored medical/therapeutic clinical trials. This position is responsible for ensuring PI-led protocols are conducted in a timely fashion and compliant with SOPs, GCP, and regulatory guidelines, institutional goals, and budgets. This position will be responsible for strategic communications and collaborations including institutional relationships between the division and external research partners.
Other major responsibilities for this position include developing and ensuring adherence to research study protocols, operational policies and procedures, and regulatory compliance documentation. This position will enhance, and ensure integrity of all clinical research data including oversight and facilitation of patient enrollment processes, study invoicing, and required reporting to sponsors and the NIH.

Job Responsibilities:

  • Personnel Management responsible for the supervision and management of the clinical research team within the division. This position will directly and/or indirectly supervise the activities of the staff on the clinical research team including hiring, training and evaluating performance for administrative staff and clinical research coordinators. In addition, this position will be instrumental in professional growth and development initiatives within the division. The candidate will monitor compliance to established regulations and guidelines.
  • Agreements and Contracts - Assists in preparation of research grants, contracts, and proposals. Identifies new funding opportunities and sources for research grants. In concert with the Grants Specialist and Principal Investigators, prepares scientific components of grant applications and collaborates on budget development. Initiates and process clinical trial agreements and research contracts; manages milestones and recruitment goals. Identifies items affecting the establishment or awarding of grants and contracts. Follows up and coordinates resolution of all issues/problems.
  • Human Subjects Research This position works with investigators on the submission of necessary documents required by the Institutional Board (IRB), the Clinical Research Support Unit (CRSU) and the Sponsored Research Operations (SPO) team in order to obtain approval to conduct human subject research. Ensures the accurate execution of research protocols in accordance with Good Clinical Practices, HIPAA and required obligations to patient/subject, investigator, research team and the sponsor. Monitors any outward effects or issues regarding patient/subject safety and reports this to the appropriate party. Oversees the recruitment progress for the assigned research studies. May provide guidance to research study personnel related to gathering information from medical records, physician referrals, advertisement and managing participant visits.
  • Regulatory & Compliance - Maintains awareness of assigned studies' regulatory status and oversees the upkeep of regulatory documents. Provides guidance to Research Coordinators and Research Data Associates to ensure that they receive the necessary training on the informed consent process and makes certain that study personnel understand what is required of them throughout the study. Demonstrates knowledge of and follows proper clinical study processes within current policies and procedures.
  • Financial Oversight This position will drive and coordinate financial processes including budget development, contract negotiation & execution, and invoicing to ensure financial accountability and secure maximum revenue from study fees. This position will process study-related vendor agreements, purchase orders, and payments; provide training to research staff on relevant financial processes & policies.
  • Strategic Planning & Problem Solving -Partnering with leadership, this position will play a key role in setting priorities, strategic direction and policy for our clinical research enterprise. Combines and evaluates information and data to make decisions and decides on the best solution to address study-related issues. Executes solutions to complex situations based on established policies and procedures. Coordinates/Communicates program activities with concerned parties including vendors and users. May organize and lead regular project meetings to ensure completion of project activities in adherence with timeline and intervention fidelity.
  • Community Outreach, Patient Education & Special Programs- Helps lead staff educators, and participates in community education, engagement and recruitment activities. Develops and implements community outreach programs and initiatives. Builds and maintains relationships with community organizations, foundations, stakeholders, and partners. Creates and distributes promotional materials to raise awareness about our organizational initiatives. Organizes departmental participation in community events, workshops, and informational sessions. Collects and analyzes data on program impact and community needs. Reports on program outcomes and recommendations for future initiatives.

Minimum Qualifications:
To qualify you must have a Bachelor Degree in Healthcare Administration or related field. A minimum of 3 years experience in healthcare and preferably management experience. Excellent organizational and time-management skills. Knowledge of occupational healthcare regulations preferred and medical terminology. Outstanding written and verbal communication skills. Problem-solver with good time-management abilities. Proven experience with administrative and accounting processes is a bonus.

Preferred Qualifications:
Masters degree preferred.
Certification as a Clinical Research Coordinator (CCRC), Clinical Research Professional (CCRP) and/or Clinical Research Associate (CCRA) preferred.

Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
