JUDICIAL ASSISTANT


Position Summary: Under the general supervision of the Chief Deputy Clerk of Circuit Court, responsible for assisting the Clerk of Circuit Court in the discharge of the duties of the office by providing support services for the Circuit Court system.

Duties/Responsibilities: The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required and assigned.

*Clerks in court, prepares court minutes, judgments of conviction, and other court orders as directed.

*Types opinions, correspondence and decisions and prepares reports, dispositions, memoranda, agendas, and jury instructions.

*Prepares necessary court notices and related materials, and sends to appropriate parties.

*Assists with calendar management including: setting up the yearly calendar, scheduling of court hearings, trials, conferences, legal appointments, meetings and activities of the judge.

*Processes documents and files necessary for judicial review and action.

*Coordinates the maintenance of all necessary court files, schedules court hearings, conferences, appointments meetings and activities and tracks cases under advisement.

*Prepares and reviews reports concerning court activity.

*Maintains confidentiality in specific areas as required.

*Enters a variety of data into the computer system.

*Notifies the appropriate parties of all cancellations/rescheduling of court trials/hearings.

*Performs miscellaneous duties as required.

*Performs other duties as assigned, including responding to an emergency event.

Work Direction Received: Works under the general supervision of the Chief Deputy Clerk of Circuit Court. Day-to-day instructions will be given by the Circuit Court Judge. Further direction may be given by the Clerk of Circuit Court, Circuit Court Commissioners, or supervisors in the Clerk of Court's office.

Decision Making: Decisions are made independently concerning the order in which cases are called in the courtroom, scheduling and rescheduling of court hearings, organization and prioritizing of workload.

Interaction: There is significant interaction with attorneys, law enforcement agencies, probation agents, other county employees, judges and the general public.

Essential Knowledge and Abilities:

Considerable knowledge of department/division structure and workflow; the judicial process, court practices and procedures of the State of Wisconsin. General office principles and techniques. Ability to prepare accurate documents and reports, oversee the operation of the daily Circuit Court process, communicate effectively orally and in writing, and interact effectively with co workers, judges and the general public. Able to fulfill physical demands of job, sensory demands (seeing and hearing), and cognitive demands (concentration, conceptualization, memorization). Establishes and maintains effective, professional, positive, and respectful working relationships and communicates internally, with other County Departments/Divisions, clients/customers, outside agencies, and the general public. Ability to multi-task, prioritize and manage workflow, and work independently.

Training and Experience: High School Diploma or GED and five years of previous legal work experience or an Associates Degree in paralegal studies or a related field, a minimum of two years of Microsoft Office experience.
