HERE IS WHAT YOU WILL DO

International Initiatives (OII) is seeking a Project Coordinator as part of its Special Programs for Global Engagement. OII hosts various programs throughout the year for international students to immerse themselves in U.S. culture and experience U.S. higher education.

The Project Coordinator will serve as the second point of contact for Special Programs for Global Engagement at Georgia State University. This position will support the leadership and management of OII's special programs for international faculty and students and assist with program logistics, event management, participant and scholar support, budget support, grant management and compliance, communication and outreach, and recruit, train, and hire student assistants and part-time staff.

Georgia State University, founded in 1913, has a mission of excellence in teaching, research, and service. Located in the heart of downtown Atlanta, this major research university has an enrollment of more than 50,000 undergraduate and graduate students. GSU also incorporates Perimeter College, a two-year college serving students across five Atlanta-area campuses. Study Abroad Programs is a unit of the Office of International Initiatives. Other major units of International Initiatives include International Partnerships and Agreements, Special Programs for Global Engagement, Virtual Exchange, and Global Scholar Distinction program. GSU is nationally recognized as a leader in international education, having won the 2022 IIE Andrew Heiskell Award for Innovation in International Education and the 2023 Senator Paul Simon Award for Outstanding Campus Internationalization.

The Project Coordinator will:

  • Plan and oversee day-to-day program logistics, including travel, housing, transportation, visa documentation, and participant communication.
  • Coordinate arrival, orientation, and departure procedures for international participants.
  • Maintain accurate records for auditing and reporting purposes.
  • Lead planning and implementation of key events such as orientations, welcome reception, cultural excursions, and farewell ceremonies.
  • Secure venues, coordinate catering and services, and develop event schedules and communications.
  • Manage event registration, logistics, and evaluation tools.
  • Serve as primary liaison for international scholars, fellows, or students, offering logistical and cultural support.
  • Coordinate with faculty, host departments, and external partners to facilitate academic and community engagement.
  • Promote intercultural exchange and help resolve issues related to housing, health, or campus life.
  • Register Summer Institute students in Banner.
  • Support coordination of virtual exchange collaborations between GSU and international partners.
  • Prepare payment packages for contracts, reimbursements, and honoraria.
  • Assist with reconciliation of program expenses, invoice processing, and financial reporting.
  • Ensure accuracy and compliance with university and sponsor guidelines for all financial transactions.
  • Track deliverables, prepare required reports, and assist with renewals or proposal development.
  • Ensure accurate documentation and data collection for evaluation and compliance.
  • Recruit, train, and supervise student assistants, graduate assistants, and/or temporary staff.
  • Assign tasks, monitor performance, and support their professional development.
  • Serve as a mentor and resource for student workers involved in international program operations.
  • Work with the Assistant Director of Marketing and Communications to develop and distribute flyers, newsletters, and promotional materials.
  • Manage program communications including email updates, social media, and website content.
  • Support outreach to international partners, alumni and community partners to sustain long-term engagement
  • Use a range of PR tools and materials to promote the special programs to international students and partners, students and faculty of GSU, and to external stakeholders.
  • Work collaboratively with GSU faculty members and international partners.
  • With guidance from the Associate Director of Special Programs to support recruiting international students and faculty.
  • Liaise with on-campus units such as Admissions, Colleges, International Student and Scholar Services, and Housing, among others to ensure optimal efficiency of process.
  • Other duties as assigned.

Qualifications :

Minimum Hiring Qualifications:

Bachelor's Degree and 2 years of related experience, including one year of supervisory experience. Preference will be given to those who possess international work/study experience.

Preferred Hiring Qualifications:

* Knowledge of GSU policies and procedures, Banner, and GoSolar.

* Able to work on a varied schedule to include nights and weekends during busy seasons.

* Bilingual Preferred: Able to proficiently read, write and speak a language in addition to English.
