*Description:*
The Office Manager supports Financial Professionals (Registered Representatives) with running their day-to-day Investment practice while enhancing the customer service level and experience. This person works directly with the Registered Representative(s) to prepare and process client paperwork, perform client financial transactions, maintain client relationships, schedule appointments, and communicate with clients and financial companies. What you will do: * Answer phones, schedule appointments, and prepare materials for client meetings. * Aid registered representatives in preparing client illustrations, graphs, charts, reports, etc. for registered representative presentations and appointment with clients. * Spend time with clients on the phone, via virtual visits and in person to ensure client service level needs. * Organize Client events and follow up tasks. * Prepare and complete client paperwork and follow up tasks to support registered representative. * Provide administrative support for director(s) and leadership * Manage calendars and schedule meetings * Coordinate routine maintenance of site with facilities and assist where applicable in event planning * Interact with a diverse group of vendors, visitors and internal contacts throughout all levels of the organization * Assist with the on and off boarding of new representatives to the organization * Create, update and maintain routine spreadsheets * Maintain databases of representatives, clients and recruits * Create presentations and other documents * Provide exceptional telephone support * Answer routine correspondence and assemble information that occasionally may be of confidential and sensitive nature * Make travel arrangements and process expense reports * Order supplies, make copies and file department documents * Receive/send/deliver mail items *Qualifications:* What you need to have: * High school diploma or equivalent experience * 4+ years of experience in a senior administrative support role with extensive experience supporting senior level executives * Proficiency with Microsoft Office Suite Really catch our eye with: * 4+ years of experience in a senior administrative support role in a professional services environment * Our top performers share the following traits: * Exceptional attention to detail and accuracy * Superior verbal and written communication skills including editing and proofreading * Ability to handle multiple priorities simultaneously * Strong organizational and time management skills * Ability to handle a variety of duties simultaneously in a fast paced environment. * Ability to analyze complex information requests * Sound judgment and problem solving abilities * Ability to exercise considerable discretion in all manners of internal and external communications. *Pay and Benefits* The pay range for this position is $25.00 - $30.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
