- Provide comprehensive administrative support to leadership, managing complex calendars and scheduling.
- Coordinate extensive travel logistics, including itineraries and arrangements.
- Prepare and process expense reports with accuracy and efficiency.
- Proactively manage logistics for business group meetings and events, ensuring smooth execution.
- Draft professional and diplomatic communications for the team and various stakeholders.
- Develop and manage data plans, utilizing advanced features of standard office productivity tools for effective information organization.
- Cultivate a deep understanding of the business group's strategy to serve as a valuable information resource.
- Anticipate and resolve administrative roadblocks, making timely decisions to maintain workflow.
- Directly resolve internal and external customer requests and host business guests with professionalism.
- Provide backup administrative support as needed, ensuring continuous operational coverage.
- Undertake special assignments and projects, contributing to broader organizational goals.
- Drive continuous improvements within business processes and resource utilization.
- Build and maintain strong business relationships with both internal and external customers.
- Consistently demonstrate a proactive, customer-service-oriented attitude.
Must-Have Qualifications:
- High school diploma or GED.
- Minimum of 5 years of overall administrative experience in a professional setting.
- Proven stable work history, demonstrating commitment and reliability.
- Minimum of 4-5 years of experience with advanced office productivity suites (e.g., word processing, spreadsheets, presentation software).
- Minimum of 4-5 years of experience supporting senior leadership or executives.
- Extensive experience working in an extremely fast-paced environment.
- Exceptional verbal and written communication skills, with a high degree of diplomacy and professionalism.
- Strong multi-tasking abilities, customer service orientation, and interpersonal skills.
- Demonstrated ability to work independently, navigate new challenges with confidence, and adapt to shifting priorities with a calm sense of urgency.
- Expert ability to keep information organized and maintain strict confidentiality.
- Expertise in event planning and budgeting.
- Possess strong drive and initiative to identify, solve, and follow through on problems independently.
- High degree of accuracy, professionalism, and attention to detail.
