*This is a hybrid position based out of our HQ in Richmond, CA, in office expectations are 4 days a week (M-Thurs)*

ABOUT THE POSITION

Mountain Hardwear is seeking a highly organized, proactive, and detail-oriented experienced Executive Assistant to provide high-level administrative and strategic support to the President and Leadership Team. This role is pivotal in ensuring seamless day-to-day operations, fostering a strong internal culture, and supporting key business initiatives. The ideal candidate will be a trusted partner, skilled in managing complex logistics, confidential communications, and cross-functional coordination with an enterprise mindset.

HOW YOU'LL MAKE A DIFFERENCE

  • Provides analytical and specialized administrative support to the Brand President and Senior Leadership Team

  • Performs administrative duties and coordinates the production of correspondence and work projects for executives.

  • Screens incoming communications and messaging to best assist and coordinate meetings, calls, and in-person appointments on behalf of the President. Evaluates the relative importance of each and handles appropriately.

  • Maintains calendar of President on a daily basis. Works with direct reports and other administrative staff to schedule meetings and events.

  • Composes emails, letters and reports from verbal instructions. Attend meetings as needed to scribe notes for distribution.

  • Coordinates travel arrangements, hotel and car accommodations, and planning of itineraries. Coordinates onsite and offsite meetings.

  • Maintains positive open lines of communication with all management, staff, and other departments to contribute to the smooth flow of information and efficient operation of the organization.

  • Assist with office logistics including catering, office supplies, and onboarding support for new hires, in partnership with Facilities team, Employee Experience Coordinator and HR.

  • Manage business processes such as Blanket Purchase Orders, Purchase Orders, coordinate vendor contracts and expedited payments using Ariba and Graphite Connect, on behalf of senior leadership team.

  • Support the logistics of All-Hands and other team gatherings including AV setup, seating arrangements, and presentation deck coordination in PowerPoint and Keynote programs.

  • Act as a cross-functional connector and culture builder, fostering collaboration across departments.

  • Serve as a liaison between Mountain Hardwear and Columbia Sportswear Company's infrastructure and leadership teams.

  • Other administrative and culture supporting activities, as assigned.

YOU HAVE

  • High School Diploma or equivalent experience. Some positions may require 2+ years of technical training.

  • Typically requires 7+ years of related experience.

  • Must be a highly motivated self-starter and be able to work with a minimum of supervision.

  • Senior level proficiency with MS Office (Word, Excel, PowerPoint, One Note/Drive).

  • Ability to create presentations using PowerPoint and/or other presentation software.

  • Demonstrated record of strong interpersonal skills and the ability to establish and maintain excellent working relationship with all internal contacts/co-workers.

  • Possess strong problem-solving skills and independent judgment.

  • Have a demonstrated history of excellent organizational skills, ability to maintain confidentiality, ability to prioritize many tasks and complete tasks with accuracy and efficiency.

  • Well-developed ability to read, write, and speak English.

  • Ability to conduct complex interpersonal interactions with others, utilize excellent grammar and spelling skills in composing correspondence, operate independently, handle confidential information with discretion, and work effectively under pressure.
