The Position

Genentech's Legal Operations team is committed to driving efficiency, structure, and innovation across the Legal Department. Within this group, the Project Management & Operations (PM&O) sub-team plays a critical role in ensuring initiatives are well-coordinated, strategically aligned, and successfully executed.

The Opportunity

We are seeking a Senior Administrative Business Partner to join our PM&O team in Genentech's Legal Operations. Reporting to the Senior Legal Operations Manager, this role will provide high-level administrative and operational support to our Legal Department and its practice groups. In this role, you will provide administrative support to practice groups, ensuring their day-to-day needs are met, while also contributing to department-wide projects and initiatives. Your ability to anticipate challenges, offer solutions, and step in where needed will help the department run efficiently.

Job Responsibilities:

  • Highly skilled in Google Suite for managing shared team drives and complex scheduling requests, potentially across multiple time zones

  • Advanced knowledge of available Genentech IT systems (ex: Roche's "cSuite" collaboration tools, and other virtual collaboration tools)

  • Manage relationships with internal and external stakeholders, often with a high level of confidentiality required

  • Plan large mid-level, internal meetings (e.g. department meeting, large team/committee)

  • Manage scheduling meetings with external business partners. Oversee preparation and post-meeting needs

  • Lead the planning and execution of internal meetings requiring webcasting, sophisticated technology, etc.

  • Independently lead the planning and execution of complex team offsites (involving multiple locations, days, activities, and/or travel needs)

  • Contribute to and assist with agenda and meeting material creation and distribution, flow of offsite events and meetings, etc

  • Attend all internal meetings and assist in note-taking and/or action items for follow-up

  • Draft email communications on behalf of manager, team, department, leader, etc

  • Manage departmental "gSites", Spaces, websites, newsletters, etc. (collect content, distribute information, oversee maintenance)

  • Coordinate collecting and implementing feedback for communications when applicable

  • Coordinate certain logistics of moves (space management), closely collaborate with administrative space planning lead

  • Manage candidate/interview scheduling and distribution of interview materials (with Talent Acquisition and Hiring Manager throughout the hiring process)

  • Manage administrative components and logistics of onboarding (ensure new hires have information for orientation, welcome events, new devices, etc.)

  • Manage and plan team building events and workshops

  • Keep up-to-date on available trainings and organize for team and/or other admins in department

  • Process and manage vendor/speaker engagements, contracts and payments, etc

  • Autonomously maintain department org charts

Functional Job Responsibilities:

  • Project coordination/project management:

    • Provide coordination and logistical support for cross functional and/or team meetings, such as agenda preparation, calendaring, room readiness, facilities needs, sophisticated technology requirements, catering and contract processing as necessary.

    • Partnering with leaders, provide coordination and logistical support for special projects, including meeting planning, agenda preparation, outcome and action tracking, and milestone achievement.

  • Proficiency in using AI tools to streamline administrative tasks, manage data, and enhance team productivity.

  • Independently identify and champion continuous improvement ideas for teams.

  • Partner with Legal employees to determine how to best convey an idea, process, or issue using gSlide decks and other graphic programs. You will need to use advanced formatting and editing skills and have an eye for layout/graphic design in order to prepare materials with minimal guidance.

  • Provide logistical support to the Legal department's Onboarding and Offboarding Concierge team, which implements the onboarding and offboarding of Legal employees (e.g. facilities work orders and follow through, IT requests, space preparedness, etc.)

  • Maintain and organize department materials and repositories to ensure information is current and readily available, including management/tracking of vendor activity, etc.

  • In addition, the position will cover other legal operations tasks - including, but not limited to, mail sorting, office resets, scheduling support for talent acquisition, and logistical support relating to onboarding and offboarding of employees, coordination or support with department events/activities.

Who You Are:

Required Skills and Qualifications:

  • An average of 5-7 years of related administrative, operations or project management experience (experience gained in the pharmaceutical/biotechnology industry is preferred).

  • Experience working with senior leaders/management

  • Ability to multitask, prioritize, and execute tasks independently, as well as the coordination of workflow among team members

  • Collaborative, initiates and facilitates team development, ensures all relevant or useful information within the team is shared, and works with different functions to achieve the best overall outcome

  • Ability to handle and exercise judgment and discretion concerning sensitive, confidential, and proprietary information

  • Demonstrates accuracy and attention to detail of one's own and others' work, communicates, and ensures standards for accuracy and detail within the team

  • Based on breadth of experience, skill, and strategic context, makes decisions independently and with minimal need for external input/validation

  • In-depth knowledge of collaboration tools (including Google gMail, gCal, gSheets, gSlides, gMeet, ZOOM) and able to provide instruction or training to others as needed

  • Familiarity with the Genentech organization is strongly preferred

  • Graphic design experience and ability is a plus (i.e. Adobe Illustrator, Canva)

  • Familiarity with Genentech organization strongly preferred

  • BS/BA degree or equivalent industry experience

This role is located onsite at Genentech's South San Francisco, California campus, and a remote working arrangement is not available.

Pay transparency

The expected salary range for this position, based on the primary location of South San Francisco, is 77,900.00 - 144,700.00 USD Annual. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and Company performance. This position also qualifies for the benefits detailed at the link provided below.
